Primary Functions

  • Oversee the complete lifecycle of vaccine inventory management, including forecasting demand based on population data, placing precise orders through state and federal systems, and ensuring proper receipt and documentation.
  • Maintain unwavering compliance with all cold chain storage and handling protocols, which involves daily temperature monitoring, data logger management, and executing immediate corrective action in response to any temperature excursions.
  • Serve as the primary point of contact and subject matter expert for the federal Vaccines for Children (VFC) program, managing annual provider enrollment, ensuring ongoing compliance, and preparing all required accountability reports.
  • Develop, implement, and continuously refine clinic workflows for both routine immunizations and large-scale vaccination events to optimize patient flow, minimize wait times, and enhance staff efficiency.
  • Ensure the meticulous and timely entry of all administered immunizations into the state's Immunization Information System (IIS), performing regular data quality checks and inventory reconciliations to maintain data integrity.
  • Coordinate the complex scheduling and staffing of vaccination clinics, including aligning clinical staff (RNs, MAs), administrative support, and volunteers to ensure appropriate coverage and skill mix for each session.
  • Develop and maintain comprehensive emergency response plans for vaccine storage equipment failure, including contingencies for power outages and natural disasters, to prevent catastrophic vaccine loss.
  • Conduct comprehensive and recurring training for all clinical and administrative staff on vaccine administration techniques, proper storage and handling, up-to-date immunization schedules, and correct documentation protocols.
  • Lead community outreach and engagement initiatives to increase vaccine uptake and address vaccine hesitancy, which includes developing culturally competent materials and partnering with local leaders, schools, and faith-based organizations.
  • Prepare for and confidently manage all program-related site visits, audits, and compliance reviews from state health departments, the CDC, and other regulatory bodies, ensuring all documentation is in order.
  • Generate and analyze regular reports on key performance indicators such as vaccination rates, inventory levels, vaccine wastage, and clinic throughput to inform program strategy and data-driven decision-making.
  • Manage the procurement and inventory of all necessary clinical and administrative supplies for vaccination operations, ranging from syringes and bandages to personal protective equipment (PPE) and consent forms.
  • Act as a key resource for healthcare providers and the public, fielding and answering complex questions about vaccine schedules, contraindications, eligibility, and safety with accuracy and empathy.
  • Reconcile physical vaccine inventory on a monthly basis against electronic records in the IIS, thoroughly investigating and documenting the cause of any discrepancies.
  • Ensure all required patient-facing documents, such as consent forms and Vaccine Information Statements (VIS), are current, available in necessary languages, and properly distributed before administration.
  • Establish and nurture strong working relationships with state and local health department officials, vaccine manufacturer representatives, and other key external stakeholders to facilitate smooth program operations.
  • Monitor and document vaccine wastage, identifying trends and implementing process improvements to minimize financial loss and preserve valuable public health resources.
