Core Responsibilities
Primary Functions
- Provide direct supervision, mentorship, and performance management for a multidisciplinary team of clinical and administrative staff involved in vaccination services.
- Oversee the complete lifecycle of vaccine inventory management, including ordering, receiving, secure storage, and distribution in strict accordance with CDC and VFC guidelines.
- Develop, implement, and monitor clinical workflows to optimize patient flow, minimize wait times, and ensure a positive patient experience at all vaccination sites.
- Serve as the primary point of contact and subject matter expert for all immunization-related inquiries from staff, patients, and external partners.
- Conduct regular quality assurance audits on vaccine storage units, temperature logs, and documentation to ensure 100% compliance and immediate correction of any deviations.
- Lead the planning and execution of off-site and mobile vaccination clinics, coordinating logistics, staffing, and community partner engagement to reach underserved populations.
- Ensure accurate and timely data entry and reporting into the state's Immunization Information System (IIS) and the organization's Electronic Health Record (EHR).
- Develop and deliver comprehensive training programs for all staff on vaccine administration, contraindications, emergency procedures, and documentation standards.
- Champion and enforce all infection control protocols and safety standards within the clinic environment to protect both staff and patients.
- Analyze program data to identify trends, evaluate program effectiveness, and generate detailed reports for senior leadership and funding agencies.
- Manage the VFC program, ensuring enrollment, recertification, and reporting requirements are met to maintain good standing and program eligibility.
- Cultivate and maintain strong, collaborative relationships with a variety of stakeholders, including the state health department, local schools, community-based organizations, and healthcare providers.
- Lead public health education and outreach initiatives to increase vaccine awareness, address vaccine hesitancy, and promote the benefits of immunization across diverse communities.
- Investigate and report any vaccine-related adverse events, in coordination with clinical leadership and in compliance with VAERS (Vaccine Adverse Event Reporting System) protocols.
- Stay current on all CDC immunization schedule recommendations, ACIP updates, and emerging public health guidance, disseminating this information to the team effectively.
- Participate in the development and management of the program budget, monitoring expenditures and identifying opportunities for cost-effective operations.
- Resolve complex patient and staff issues with professionalism and empathy, acting as an escalation point for operational or clinical challenges.
- Collaborate with the Quality Improvement department to design and implement performance improvement projects aimed at enhancing vaccine delivery services.
- Ensure all vaccination sites are operationally prepared for public health emergencies, including the rapid deployment of mass vaccination campaigns.
- Oversee the maintenance and calibration of all clinical equipment related to the vaccine program, including temperature monitoring devices and vaccine transport coolers.
- Create and update program-specific policies, procedures, and standing orders in collaboration with medical directors and in alignment with evidence-based practices.
Secondary Functions

Educational Background
Minimum Education:
- Bachelor's Degree in a relevant field. A combination of an Associate's Degree in Nursing (or similar) and significant, directly related experience may be considered.

- Master's Degree in Public Health (MPH), Healthcare Administration (MHA), or Nursing (MSN).
- Current RN (Registered Nurse) or LPN (Licensed Practical Nurse) license is highly desirable.
