Core Responsibilities
Primary Functions
- Provide direct leadership, coaching, and ongoing performance management for a team of vault personnel, cash processors, and tellers to foster a culture of accuracy and security.
- Maintain absolute and precise control over all vault inventories, including currency, coin, and other valuable assets, by conducting and overseeing rigorous daily balancing and reconciliation procedures.
- Enforce uncompromising adherence to all security protocols, including dual control, access restrictions, and opening/closing procedures, to safeguard against internal and external threats.
- Act as the primary point of contact for and lead all internal and external audits of the vault, ensuring all documentation is pristine and processes are compliant.
- Develop, implement, and continuously refine operational policies and procedures to enhance efficiency, accuracy, and security within the cash processing environment.
- Meticulously investigate, document, and resolve any cash discrepancies or out-of-balance conditions, performing root cause analysis to prevent future occurrences.
- Manage the end-to-end logistics of all cash-in-transit (CIT) operations, including scheduling, verifying shipments with armored carriers, and ensuring secure handoffs.
- Oversee the maintenance and proper functioning of all vault and cash-processing equipment, such as currency counters, sorters, and TCDs/TCRs, coordinating repairs as needed.
- Generate and analyze detailed operational reports for senior management, covering inventory levels, transaction volumes, teller performance, and security incidents.
- Maintain strict and documented control over all vault keys, combinations, and access codes, managing changes and audits in line with corporate security policy.
- Serve as the on-site lead during security or facility emergencies, executing established response plans to protect personnel and assets.
- Ensure the vault and its operations remain in constant compliance with all relevant regulations, including the Bank Secrecy Act (BSA), anti-money laundering (AML) policies, and OFAC.
- Develop and deliver comprehensive training programs for new and existing vault staff on topics ranging from cash handling best practices to robbery response procedures.
- Manage employee schedules, shift assignments, and payroll for the vault team, ensuring adequate coverage for all operational hours.
- Collaborate with risk management and loss prevention departments to identify potential vulnerabilities and implement effective mitigating controls.
- Maintain the operational readiness of all physical security systems, including alarms, CCTV surveillance, and access control systems, by conducting regular checks.
- Balance and manage the vault's residual cash position, ordering currency from and shipping excess to the Federal Reserve or other corresponding banks as needed.
- Build and maintain strong professional relationships with armored transport partners, client representatives, and internal stakeholders to ensure seamless service.
- Authorize and verify high-value transactions, ensuring proper documentation and adherence to established limits and authorities.
- Champion a culture of continuous improvement, actively seeking feedback and identifying opportunities to streamline workflows and reduce operational risk.
