Core Responsibilities
Primary Functions
- Meticulously coordinate the daily and weekly scheduling of all fleet vehicles to support the operational demands of various departments, projects, and personnel.
- Serve as the primary point of contact for all driver and staff inquiries related to vehicle assignments, usage policies, roadside issues, and general support.
- Proactively manage the complete vehicle maintenance lifecycle, from scheduling routine preventative servicing and oil changes to coordinating emergency repairs with approved vendors.
- Diligently track and maintain comprehensive vehicle records, including maintenance history, mileage logs, fuel consumption, and repair documentation, using fleet management software.
- Ensure the entire fleet remains in strict compliance with all federal (DOT), state, and local regulations, including vehicle registrations, inspections, and insurance documentation.
- Oversee and administer the vehicle check-in and check-out process, conducting thorough inspections for new and existing damage, cleanliness, and fuel levels, and documenting all findings.
- Manage the acquisition and disposal of fleet vehicles, assisting in the selection of new vehicles and coordinating the logistics of selling or returning end-of-life units.
- Cultivate and manage strong relationships with external vendors, including repair shops, dealerships, rental agencies, and fueling services, to negotiate pricing and ensure quality.
- Administer the company's fuel card program, including issuing cards, monitoring usage for anomalies, and reconciling monthly statements.
- Prepare and maintain vehicle assignment agreements and ensure all drivers have valid licenses and meet the company's driving record standards.
- Coordinate the response to vehicle accidents or breakdowns, guiding drivers through procedures and arranging for towing, repairs, or replacement vehicles as needed.
- Monitor vehicle telematics and GPS data to track vehicle location, analyze driver behavior, and identify opportunities for improving route efficiency and safety.
- Assist in the development and enforcement of company-wide vehicle policies and procedures to promote safety, cost-control, and proper asset utilization.
- Manage the inventory of vehicle keys, registration documents, and other essential equipment, ensuring security and proper tracking.
