Core Responsibilities

Primary Functions

  • Conduct comprehensive mechanical and safety inspections on light-duty and heavy-duty vehicles, including brakes, suspension, steering, drivetrain, tires, lighting, exhaust, and HVAC systems, and document findings in standardized inspection forms or electronic fleet systems.
  • Perform DOT-compliant inspections and roadside checks, ensuring all commercial vehicles meet Federal Motor Carrier Safety Administration (FMCSA) and state Department of Transportation regulations and prepare required inspection reports.
  • Carry out emissions testing and diagnostic procedures in accordance with local, state, and federal environmental regulations, using authorized emissions test equipment and following EPA guidelines where applicable.
  • Verify vehicle identity and documentation by performing VIN checks, title and registration verification, odometer readings and pre-purchase VIN inspections to prevent fraud and ensure accurate records.
  • Use electronic inspection tools, handheld diagnostic scanners, multimeters and onboard diagnostic (OBD-II) interfaces to read trouble codes, interpret sensor data and recommend corrective actions for engine, transmission and electrical faults.
  • Inspect and test braking systems, including hydraulic and air brake systems, perform brake force and balance checks, and recommend adjustments or component replacements based on manufacturer specifications.
  • Evaluate suspension, steering and chassis components for wear, alignment issues and structural defects, and document required repairs to restore safe operating condition.
  • Conduct lighting and electrical system tests, troubleshoot wiring and charging system problems, and confirm proper operation of exterior and interior lighting, indicators and safety devices.
  • Identify, tag and document out-of-service items and safety defects; communicate immediate safety concerns to fleet managers or vehicle owners and ensure timely repair authorization.
  • Prepare clear, professional inspection reports and repair recommendations — including photos, measurements and severity ratings — stored in fleet management software or CRM systems for audit and maintenance planning.
  • Execute pre-trip and post-trip inspection procedures for fleet vehicles to reduce breakdowns, improve uptime and support preventive maintenance schedules and lifecycle management strategies.
  • Administer scheduled maintenance inspections, monitor wear trends (tires, brakes, fluids), and collaborate with parts and service teams to order replacement components and plan repairs.
  • Perform load, coupling and trailer inspections for combination vehicles, ensuring secure attachment, proper lights and ABS operation, and compliance with cargo securement regulations.
  • Calibrate and maintain inspection and diagnostic equipment regularly to ensure measurement accuracy and regulatory compliance, and maintain calibration logs and certification records.
  • Provide technical support and guidance to junior inspectors and maintenance technicians, offering hands-on training in inspection best practices, safety standards and diagnostic techniques.
  • Conduct root cause analysis for recurring vehicle failures and recommend process improvements to maintenance schedules, vendor selection or spare parts stocking to reduce downtime and cost.
  • Participate in internal and external compliance audits, prepare required documentation, respond to audit findings and implement corrective action plans to meet regulatory and corporate standards.
  • Operate company vehicle(s) or mobile inspection units to perform field inspections, on-site diagnostics, and road tests; complete trip logs and safety checks when driving fleet vehicles.
  • Manage inspection scheduling, prioritize work orders based on safety risk and operational impact, and coordinate with dispatch, maintenance and operations teams to minimize service interruptions.
  • Maintain detailed, auditable inspection records, chain-of-custody documentation, warranty claims and repair histories in digital systems to support compliance, billing and reporting requirements.
  • Advise customers, drivers and fleet managers on safety best practices, recommended repairs, parts priorities and estimated repair timelines while ensuring professional, customer-focused communication.
  • Stay current on changes to vehicle safety standards, emissions regulations, manufacturer service bulletins and industry best practices, and apply new requirements to inspection criteria and checklists.

Secondary Functions

  • Assist with continuous improvement initiatives to refine inspection checklists, digital forms, and workflow automation for faster, more accurate inspections.
  • Support inventory and parts ordering by identifying common failure items, generating parts lists from inspection findings, and coordinating with procurement to reduce vehicle downtime.
  • Conduct periodic workshops or training sessions for operations staff and drivers on basic vehicle safety checks, pre-trip inspection techniques and defect reporting procedures.
  • Participate in cross-functional safety committees and share inspection insights to inform company-wide safety policies and risk mitigation efforts.
  • Help prepare departmental KPIs and metrics (inspection pass rates, mean time to repair, defect recurrence) and contribute inspection data for monthly performance reviews.
  • Collaborate with quality assurance and vendor teams to evaluate repaired vehicles and vendor workmanship, and assist in establishing vendor performance standards.
  • Provide back-up support for administrative tasks such as invoicing inspection services, entering inspection data into fleet management software, and archiving inspection documentation.
  • Assist with incident investigations by performing technical assessments of vehicle failures, recording findings, and providing factual reports for insurance or legal review.
  • Maintain a clean, organized inspection bay and ensure all safety equipment, PPE and toolsets are available and in good condition.
  • Participate in pilot projects to evaluate new diagnostic tools, inspection technologies, or digital platforms aimed at improving inspection accuracy and reporting speed.

Required Skills & Competencies

Hard Skills (Technical)

  • Proficient in vehicle inspection procedures for light-duty and heavy-duty vehicles, including DOT and state regulatory inspection standards.
  • ASE certification (or equivalent) in relevant areas (e.g., A1-A9 series) or state inspection licensing preferred.
  • Experienced with onboard diagnostics (OBD-II), code reading, live data interpretation and emission system troubleshooting.

  • Experience with safety-critical reporting, generating inspection certificates, non-compliance notices and out-of-service tags.
  • Skilled in performing road tests, load tests and functional checks to validate repair outcomes and identify intermittent faults.
  • Competent in using Microsoft Office suite (Word, Excel) for reporting, spreadsheets and inspection tracking; ability to work with CSV and PDF inspection exports.
  • Basic welding, fabrication or mechanical repair skills are a plus for on-the-spot temporary fixes and assessment.

Education & Experience

Educational Background

Minimum Education:

  • High school diploma or GED required; vocational certificate or technical school completion in automotive technology preferred.

Preferred Education:

  • Associate degree in Automotive Technology, Diesel Technology, Automotive Service Management, or related technical field.
