Core Responsibilities

Primary Functions

  • Conduct in-depth analysis of comprehensive maintenance data to identify trends, recurring component failures, and systemic issues across various vehicle makes and models.
  • Develop, monitor, and continuously refine Key Performance Indicators (KPIs) for the fleet, including vehicle uptime, Cost Per Mile (CPM), Mean Time Between Failures (MTBF), and Preventive Maintenance (PM) compliance.
  • Create and maintain sophisticated dashboards and detailed reports for management, visualizing fleet health, maintenance spend, and operational efficiency to support strategic decision-making.
  • Perform rigorous root cause analysis on premature or catastrophic failures to develop corrective action plans and prevent future occurrences.
  • Scrutinize and audit repair orders and vendor invoices to ensure accuracy, fair pricing, and compliance with established maintenance policies and warranty terms.
  • Provide data-driven recommendations to leadership on vehicle specification, lifecycle management, and replacement strategies to optimize Total Cost of Ownership (TCO).
  • Collaborate directly with regional fleet managers and maintenance shop supervisors to implement and standardize best-in-class maintenance practices.
  • Track and forecast vehicle lifecycle costs, from acquisition through disposal, providing crucial data for capital expenditure planning and annual budget development.
  • Analyze telematics data to understand the impact of driver behavior, idling time, and route efficiency on maintenance requirements and fuel consumption.
  • Manage and evaluate the performance of third-party maintenance providers, holding them accountable to service level agreements and cost-containment goals.
  • Identify and pursue warranty recovery opportunities by meticulously tracking component failure data against manufacturer warranty periods, managing the claims process from start to finish.
  • Monitor parts inventory levels and usage patterns to recommend adjustments that balance parts availability with the cost of carrying inventory.
  • Develop and present compelling business cases for the adoption of new technologies, diagnostic tools, or maintenance programs that promise a strong return on investment.
  • Ensure all maintenance activities and records are in strict compliance with Department of Transportation (DOT), Environmental Protection Agency (EPA), and other relevant government regulations.
  • Analyze fuel purchase data and trends to identify anomalies, potential for fraud, and opportunities for cost savings through improved fuel economy initiatives.

Secondary Functions

  • Support ad-hoc data requests and exploratory data analysis from various business units to answer specific operational questions.
  • Contribute to the organization's broader data strategy by advocating for data quality, integrity, and accessibility within fleet management systems.
  • Collaborate with IT and data engineering teams to translate business needs into technical requirements for data warehousing and reporting tools.
  • Participate in sprint planning, daily stand-ups, and other agile ceremonies if working within an agile data analytics team structure.
  • Assist in training field personnel and other stakeholders on how to effectively use fleet management software and interpret performance dashboards.
  • Stay abreast of emerging trends in the automotive, logistics, and data analytics industries to bring innovative ideas and continuous improvement to the role.
  • Support internal and external audits by providing accurate maintenance records, compliance reports, and analytical summaries as required.

Required Skills & Competencies

Hard Skills (Technical)

  • Data Analysis & Interpretation: Proven ability to work with large, complex datasets to extract meaningful insights and tell a story with data.
  • Advanced Excel Proficiency: Mastery of Excel, including pivot tables, complex formulas, Power Query, and data modeling for sophisticated analysis and reporting.
  • Business Intelligence (BI) Tools: Hands-on experience creating dashboards and reports in tools like Tableau, Power BI, or Google Data Studio.

Education & Experience

Educational Background

Minimum Education:
