Core Responsibilities

Primary Functions

  • Coordinate the end-to-end logistics for vehicle movements, including scheduling pickups, arranging transportation with third-party carriers, and confirming successful deliveries to various locations.
  • Maintain meticulous and up-to-the-minute records of the entire vehicle fleet, consistently updating internal fleet management systems with vehicle status, location, mileage, and maintenance history.
  • Conduct thorough pre- and post-operation vehicle inspections, meticulously documenting any new damage, mechanical issues, or cleanliness concerns through detailed condition reports and digital photography.
  • Manage all vehicle-related documentation, including titles, registrations, insurance cards, and compliance paperwork, ensuring all documents are current, correctly filed, and readily accessible.
  • Serve as the primary point of contact for drivers and field staff, providing them with necessary trip information, resolving on-the-road issues, and ensuring adherence to company policies and safety procedures.
  • Schedule and track all routine and preventative vehicle maintenance, including oil changes, tire rotations, and annual inspections, to minimize downtime and ensure fleet reliability.
  • Process and verify vendor invoices for services such as vehicle repairs, fuel, and transport, ensuring accuracy and submitting them for payment in a timely manner.
  • Actively monitor vehicle telematics systems to track driver behavior, fuel consumption, and vehicle diagnostics, flagging any anomalies or compliance issues to management.
  • Prepare and stage vehicles for deployment, ensuring they are clean, fueled, and equipped with all necessary materials and safety equipment for their assigned tasks.
  • Manage the inventory of vehicle-related supplies, such as spare keys, fuel cards, and registration stickers, and process orders for replenishment as needed.
  • Assist in the in-fleeting of new vehicles and the de-fleeting of retired assets, handling all associated paperwork, key management, and system updates.
  • Generate and distribute regular operational reports on key fleet metrics, such as vehicle utilization, maintenance costs, and fuel efficiency, to support data-driven decision-making.
  • Respond to and coordinate the resolution of vehicle breakdowns, accidents, or other roadside emergencies, dispatching assistance and documenting the incident thoroughly.
  • Ensure the vehicle yard or parking facility is organized and secure, managing the flow of incoming and outgoing vehicles to maintain an orderly environment.
  • Liaise with external body shops, mechanics, and dealerships to coordinate repairs and receive updates, ensuring work is completed to standard and on schedule.
  • Handle the processing of tolls, parking tickets, and other traffic violations, assigning them to the correct driver or department and ensuring prompt payment to avoid penalties.
  • Support the onboarding process for new drivers by providing vehicle orientation, explaining operational procedures, and issuing necessary equipment.
  • Maintain a comprehensive and organized key management system to ensure all vehicle keys are accounted for and securely stored.
  • Perform regular audits of the fleet to verify physical location, condition, and registration status against system records, resolving any discrepancies found.
  • Communicate effectively with internal departments, such as sales, service, and finance, to provide updates on vehicle availability and coordinate inter-departmental needs.
  • Uphold and enforce all Department of Transportation (DOT) and other governmental regulations, ensuring the entire fleet remains in full compliance.

Secondary Functions

  • Assist the Fleet Manager with budget tracking, expense reporting, and analysis of operational costs like fuel, maintenance, and tolls.
  • Contribute to the development and refinement of standard operating procedures (SOPs) for vehicle handling, inspection, and logistics.
  • Participate in safety meetings and contribute to the ongoing improvement of the company's vehicle safety program and driver training initiatives.
  • Support ad-hoc projects related to fleet optimization, such as researching new vehicle technologies or implementing new operational software.

Required Skills & Competencies
