Core Responsibilities
Primary Functions
- Oversee and direct the daily workflow of all parts department personnel, including parts counter staff, shipping and receiving clerks, and delivery drivers, to ensure operational targets are consistently met.
- Spearhead the comprehensive management of the parts department's inventory, executing precise cycle counts, analyzing obsolescence, and optimizing stock levels to ensure maximum availability and minimal carrying costs.
- Mentor, train, and develop parts department staff on product knowledge, customer service excellence, and effective use of the Electronic Parts Catalog (EPC) and Dealer Management System (DMS).
- Act as the primary point of escalation for complex customer issues, providing expert solutions and ensuring a high degree of customer satisfaction for both retail and wholesale accounts.
- Implement and enforce robust inventory control procedures to prevent shrinkage, including managing returns, core charges, and warranty parts claims with meticulous accuracy.
- Collaborate closely with the Service Manager and service advisors to ensure timely and accurate parts fulfillment for repair orders, minimizing technician downtime and improving bay efficiency.
- Analyze departmental financial performance, including sales reports, gross profit margins, and expense controls, to identify trends and implement strategies for growth.
- Manage the procurement process by establishing and maintaining strong relationships with manufacturers and aftermarket suppliers to negotiate favorable pricing and terms.
- Ensure the parts department maintains a clean, professional, and safe working environment, adhering to all company policies and OSHA safety standards.
- Conduct regular performance reviews with team members, setting clear goals, providing constructive feedback, and fostering a culture of continuous improvement and accountability.
- Develop and execute strategies to grow the wholesale parts business, including identifying potential clients and managing account relationships.
- Monitor and manage special order parts, ensuring customers and service advisors are kept informed of order status and expected arrival times.
- Supervise the shipping and receiving process to verify the accuracy of incoming shipments against packing slips and promptly stock new inventory.
- Forecast parts needs based on seasonal demands, sales trends, and upcoming service promotions to proactively adjust stock levels.
- Take a leading role in maintaining the accuracy of parts pricing structures within the DMS, updating records to reflect manufacturer price changes and market conditions.
- Coordinate logistics for parts delivery routes to maximize efficiency and ensure on-time delivery to wholesale customers.
- Resolve discrepancies with vendors regarding shipments, invoices, and returns in a timely and professional manner.
- Assist in the preparation of the annual parts department budget and operate within its established parameters.
- Champion the use of technology and new tools to improve department processes, from inventory scanning systems to online ordering platforms.
- Ensure all parts-related transactions, including sales, returns, and inter-departmental transfers, are documented accurately and processed correctly in the business system.

- Dealer Management System (DMS) Proficiency: Deep, hands-on experience with automotive DMS platforms (e.g., CDK, Reynolds & Reynolds, Dealertrack).
- Electronic Parts Catalog (EPC) Expertise: Ability to quickly and accurately look up parts using various manufacturer-specific EPCs.
- Inventory Management Systems: Strong command of inventory control principles and software, including ordering, receiving, and cycle counting functions.
- Financial Acumen: Ability to read and interpret financial statements, profit & loss reports, and key performance indicators (KPIs) for a parts department.
- Microsoft Office Suite: Proficiency in Excel for data analysis, reporting, and tracking, as well as Word and Outlook for communication.
