Core Responsibilities
Primary Functions
- Engage directly with customers and service technicians to accurately diagnose needs and precisely identify the required vehicle parts and accessories for specific repairs or enhancements.
- Expertly navigate and utilize electronic parts catalogs (EPC), manufacturer diagrams, and dealership management systems (DMS) to look up correct part numbers, check availability, and confirm supersessions.
- Provide customers and technicians with accurate pricing, availability, and sourcing information for parts, both in person and over the phone, offering solutions and alternatives when needed.
- Meticulously receive, unpack, and verify incoming parts shipments against purchase orders and packing slips, promptly reporting any discrepancies, shortages, or damages to the Parts Manager.
- Process customer and internal parts orders efficiently, from creating invoices and collecting payments to ensuring a seamless and positive transaction experience.
- Properly tag, label, and stock incoming parts in their designated warehouse locations, ensuring the parts department remains organized, accessible, and operates at peak efficiency.
- Issue parts and accessories from inventory directly to service technicians, accurately documenting each transaction on the corresponding repair order to maintain cost integrity.
- Monitor inventory levels and collaborate with the Parts Manager to order necessary stock, which includes placing daily stock orders, special orders, and emergency purchases to meet demand.
- Build and maintain strong, positive relationships with the team of service technicians, service advisors, and other dealership personnel to foster a collaborative and productive work environment.
- Proactively assist both retail (walk-in) and wholesale (trade) customers with their parts needs, providing exceptional service to build loyalty and encourage repeat business.
- Handle the entire parts returns process, from accepting returns from customers and technicians to inspecting items for condition and completing all necessary paperwork for credit or restocking.
- Manage the warranty parts return process, ensuring components are properly tagged, documented, and returned to the manufacturer according to specific policies and timelines.
Secondary Functions
- Maintain a clean, professional, and safe working environment throughout the parts department, including the customer counter, warehouse, and shipping/receiving areas.
- Prepare and package parts for shipment or delivery to wholesale customers, external repair shops, or for returns to vendors and manufacturers.
- Keep consistently abreast of new products, features, accessories, and technical service bulletins related to the vehicle makes you support.
- Assist in conducting regular inventory cycle counts and participate in the annual full physical inventory to ensure data accuracy and minimize shrinkage.
- Control and manage specialized inventory such as tires, including ordering, stocking, and issuing them to the service department as needed.
- Follow all company safety policies and procedures, with special attention to the proper handling and documentation of hazardous materials.
- Manage the sourcing and logistics of special-order parts, keeping the relevant customer or service advisor consistently informed of the order status and estimated arrival time.
- Answer phone calls to the parts department promptly and professionally, addressing inquiries related to parts lookup, availability, order status, and pricing.

- Electronic Parts Catalog (EPC) Proficiency: Demonstrated ability to quickly and accurately navigate digital catalogs to identify the correct parts for various vehicle models and VINs.
- Inventory Management Software: Experience using dealership management systems (DMS) like Reynolds & Reynolds, CDK Global, Dealertrack, or similar inventory control software.
- Automotive Systems Knowledge: A solid foundational understanding of major vehicle components and systems (e.g., engine, drivetrain, brakes, suspension, electrical) is crucial.
- Point-of-Sale (POS) Operation: Skill in handling cash and credit transactions, creating invoices, and processing payments accurately.

Educational Background
Minimum Education:

Typical Experience Range: 1-3+ years of experience in an automotive parts role.
