The Vehicle Service Assistant, often known as a Service Porter or Valet, is the backbone of our service department's daily operations. This individual is one of the first and last points of contact for our valued customers, responsible for creating a positive first impression and ensuring the safe and efficient movement of client vehicles. You will be instrumental in maintaining the organization and cleanliness of the service lane and dealership lot, directly contributing to our reputation for quality and efficiency. This role requires a blend of physical activity, exceptional customer interaction, and a meticulous eye for detail to support the overall success of the service team.

Core Responsibilities

Primary Functions

  • Greet and welcome service customers in a friendly, professional, and timely manner upon their arrival in the service drive.
  • Safely and carefully move customer vehicles from the service lane to the designated parking areas on the dealership lot.
  • Install protective coverings, including seat covers, floor mats, and steering wheel covers, in all vehicles before service begins.
  • Retrieve customer vehicles from the parking lot and bring them to the service lane upon completion of service, ensuring they are ready for pickup.
  • Perform a complimentary vehicle wash and light interior vacuum for customers as directed by the service department's policies.
  • Maintain the cleanliness and organization of the service drive, customer lounge, and service reception areas to uphold dealership standards.
  • Proactively communicate with Service Advisors and Technicians regarding vehicle status, location, and any customer-related updates.
  • Conduct a walk-around inspection of each vehicle upon arrival to document any pre-existing dings, dents, or scratches.
  • Manage the flow of traffic within the service drive and on the lot to prevent congestion and ensure a safe environment for both staff and customers.
  • Operate a shuttle service to transport customers to and from their homes or places of work while their vehicle is being serviced.
  • Assist customers with any questions they may have upon arrival and direct them to the appropriate Service Advisor or department personnel.
  • Manage and organize the key tag system to ensure all vehicle keys are securely stored and properly tracked throughout the service process.
  • Regularly check the status of loaner vehicles, ensuring they are clean, fueled, and ready for customer use.
  • Verify vehicle information, including VIN and mileage, and ensure it matches the repair order documentation for accuracy.
  • Prepare vehicles for delivery to the customer by removing all protective coverings and performing a final quality check on cleanliness.

Secondary Functions

  • Support ad-hoc requests from the service management team, such as moving new or used inventory between lots.
  • Assist the parts department with receiving, stocking, and distributing parts to technicians as needed.
  • Perform light janitorial and maintenance duties around the service facility, including emptying trash receptacles and cleaning spills.
  • Help maintain lot inventory by organizing vehicles and ensuring they are properly parked and displayed.
  • Support Service Advisors with administrative tasks, such as filing repair orders or making follow-up calls, during peak hours.
  • Participate in all required dealership training and safety meetings to stay current on policies and best practices.
  • Report any observed safety issues or potential hazards on the dealership property to management immediately.
  • Assist technicians with non-technical tasks, such as retrieving supplies or providing an extra set of hands for simple procedures.
  • Ensure all service equipment in the drive-thru area (e.g., car wash, vacuums) is functioning correctly and report any malfunctions.
  • Collaborate with the sales department to prepare vehicles for test drives or delivery when required.

Required Skills & Competencies

Hard Skills (Technical)

  • A valid, state-issued driver's license and a clean, insurable driving record.
  • Proven ability to operate both automatic and manual transmission vehicles proficiently and safely.
  • Basic computer skills for using dealership management systems (DMS) for vehicle check-in and tracking.
  • Knowledge of professional vehicle cleaning, waxing, and detailing techniques and products.
  • Familiarity with basic automotive terminology and components.
  • Understanding of shop safety protocols and hazardous material handling (e.g., cleaning chemicals, fuel).

Education & Experience

Educational Background

Minimum Education:

  • High School Diploma or equivalent (GED).

Preferred Education:

  • Certificate or coursework from a vocational school or in automotive technology.

Relevant Fields of Study:

  • Hospitality and Customer Service

Experience Requirements

Typical Experience Range:

  • 0 - 2 years of relevant experience. This is an excellent entry-level position.

Preferred:

  • At least 6 months of experience in a customer-facing role (e.g., retail, hospitality).
  • Previous experience as a valet, porter, car washer, or lot attendant, particularly within an automotive dealership, is highly advantageous.
