Core Responsibilities

Primary Functions

  • Serve as the primary point of contact for prospective and existing clients, actively listening to understand their specific vehicle shipping needs, timelines, and budget constraints.
  • Generate and present accurate, competitive, and timely shipping quotes, clearly articulating the value and differences between service options like open vs. enclosed transport.
  • Proactively follow up on all sales leads and quotes via phone and email to answer client questions, overcome objections, and convert prospects into booked orders.
  • Educate clients on the end-to-end vehicle transport process, setting realistic expectations regarding pickup and delivery windows, transit times, and required documentation.
  • Skillfully negotiate transport rates and terms with a network of pre-vetted motor carriers to ensure profitability while securing reliable service for the client.
  • Manage the complete lifecycle of a shipment, from booking the order and entering it into the TMS to dispatching it to a qualified carrier.
  • Vet and qualify new carriers, ensuring they meet all company and federal safety standards, including proper licensing and insurance (e.g., DOT and MC authority).
  • Build and nurture strong, lasting relationships with both clients and carrier partners to encourage repeat business and establish a reliable transport network.
  • Proactively track all active shipments, providing regular, informative status updates to clients to ensure peace of mind and maintain transparency.
  • Act as a first-line problem solver, calmly and efficiently addressing and resolving any in-transit issues, such as delays, mechanical breakdowns, or scheduling conflicts.
  • Meticulously manage all associated documentation, including contracts, dispatch sheets, and Bills of Lading (BOLs), ensuring accuracy and completeness.
  • Handle a high volume of inbound and outbound calls and emails with professionalism and a commitment to exceptional customer service.
  • Utilize CRM software diligently to manage sales pipelines, track customer interactions, and maintain an organized database of leads and clients.
  • Strive to meet and exceed monthly sales quotas and performance metrics through effective lead management and closing techniques.
  • Process payments, manage invoicing, and assist with collections to ensure timely and accurate financial transactions for completed services.
  • Identify and pursue opportunities to upsell or cross-sell additional services, such as expedited shipping or guaranteed pickup dates.
  • Coordinate pickup and delivery appointments between the carrier, the client, and any designated contacts at the origin or destination.
  • Provide post-delivery follow-up to ensure client satisfaction, gather feedback, and professionally manage any damage claims that may arise.
  • Stay current on market trends, pricing fluctuations, and changes in transportation regulations (FMCSA/DOT) to maintain a competitive edge.
  • Collaborate with team members to share best practices, carrier information, and strategies for improving the overall customer experience.

Experience Requirements

Typical Experience Range:
