Core Responsibilities

Primary Functions

  • Oversee and direct the full lifecycle of vehicle transportation operations, from initial dispatch and route planning to final delivery confirmation and invoicing.
  • Develop, implement, and enforce strategic policies and procedures to optimize fleet utilization, reduce transit times, and minimize transportation costs.
  • Negotiate contracts, rates, and service level agreements (SLAs) with third-party carriers, brokers, and logistics partners to build a reliable and cost-effective carrier network.
  • Act as the primary authority on Department of Transportation (DOT), Federal Motor Carrier Safety Administration (FMCSA), and other relevant state and federal transportation regulations, ensuring 100% company compliance.
  • Manage and mentor a team of dispatchers, coordinators, and drivers, handling recruitment, training, scheduling, performance evaluations, and professional development.
  • Directly manage the vehicle transport budget, including forecasting expenses, analyzing cost-per-mile, scrutinizing invoices, and identifying opportunities for significant cost savings.
  • Utilize Transportation Management Systems (TMS) and other logistics software to monitor shipments in real-time, generate performance reports, and make data-driven decisions.
  • Develop and maintain key performance indicators (KPIs) for the transport department, tracking metrics such as on-time delivery, carrier performance, vehicle damage rates, and cost adherence.
  • Champion a robust safety culture by implementing and managing comprehensive safety programs, conducting incident investigations, and ensuring all drivers and equipment meet strict safety standards.
  • Resolve complex logistical challenges, service disruptions, and customer escalations with a sense of urgency and a focus on root cause analysis to prevent future occurrences.
  • Conduct regular performance reviews with key carriers to ensure they are meeting contractual obligations and quality standards, and take corrective action when necessary.
  • Plan and optimize multi-stop routes to maximize efficiency, reduce fuel consumption, and improve driver productivity using advanced routing software and logistical analysis.
  • Manage the claims process for in-transit damages, working with insurance providers, carriers, and customers to ensure timely and fair resolution.
  • Stay current with industry trends, new technologies (like telematics and AI-driven logistics), and changes in transportation law to ensure the organization maintains a competitive edge.
  • Lead the vehicle readiness process, ensuring all units are inspected, prepared, and have the necessary documentation before dispatch.

Secondary Functions

  • Collaborate closely with sales, procurement, and production departments to accurately forecast transportation needs and align logistics capacity with business demand.
  • Lead or participate in projects for the selection, testing, and implementation of new logistics technologies, such as upgraded TMS platforms or telematics systems.
  • Develop and deliver ongoing training programs for drivers and dispatch staff on new procedures, safety protocols, and software usage.
  • Represent the transportation department in cross-functional business meetings to provide logistical insights and contribute to broader company initiatives.

Required Skills & Competencies

Hard Skills (Technical)

  • Transportation Management Systems (TMS): Deep proficiency in using and managing TMS software (e.g., MercuryGate, Oracle OTM, TMW) for dispatch, tracking, and reporting.
  • Regulatory Knowledge: Expert-level understanding of DOT, FMCSA, and hazardous materials regulations, as well as hours-of-service (HOS) rules.
  • Route Optimization & Planning: Proven ability to use routing software and analytical skills to design efficient and cost-effective transportation routes.
  • Contract Negotiation & Carrier Management: Skilled in negotiating freight rates and service contracts, and managing relationships with a diverse portfolio of carriers.
  • Budgeting & Financial Acumen: Experience in creating and managing departmental budgets, performing cost analysis, and understanding the financial impact of logistics decisions.
  • Data Analysis & Reporting: Ability to analyze transportation data, identify trends, and create clear, actionable reports and dashboards to measure performance.

Education & Experience

Educational Background

Minimum Education:

Experience Requirements

Typical Experience Range: 5-10 years of progressive experience in a transportation or logistics environment.
