Core Responsibilities

Primary Functions

  • Vendor Lifecycle Management: Oversee the complete vendor lifecycle, from initial sourcing and qualification through onboarding, integration, performance management, and eventual offboarding or contract renewal.
  • Onboarding and Integration: Spearhead the end-to-end onboarding process for new vendors, which includes conducting due diligence, facilitating system and tool access, and delivering comprehensive training on company policies, procedures, and service level expectations.
  • Performance Monitoring & KPIs: Develop, track, and analyze key performance indicators (KPIs) and service level agreements (SLAs) to measure vendor performance, ensuring adherence to contractual obligations and quality standards.
  • Relationship Building: Act as the primary point of contact for a portfolio of vendors, cultivating strong, positive, and productive working relationships built on trust and transparent communication.
  • Contract Administration: Assist in the administration of vendor contracts, monitoring key dates, renewal periods, and compliance terms, and flagging any deviations or required actions to senior management.
  • Regular Business Reviews: Organize, prepare for, and participate in regular business reviews (QBRs) with key vendors to discuss performance, address challenges, and identify opportunities for growth and improvement.
  • Issue Resolution: Serve as the first line of escalation for any vendor-related issues, working collaboratively with both internal stakeholders and vendor contacts to investigate, troubleshoot, and drive timely resolutions.
  • Stakeholder Communication: Maintain clear and consistent communication channels with internal teams (e.g., Operations, IT, Finance, Legal) to ensure alignment on vendor activities, performance, and program changes.
  • Documentation and Record-Keeping: Meticulously maintain a centralized repository of all vendor information, including contracts, performance data, contact details, and compliance documentation, ensuring accuracy and accessibility.
  • Financial and Invoice Coordination: Collaborate with the Accounts Payable team to verify vendor invoices against contracts and services rendered, resolving any discrepancies to ensure prompt and accurate payment.
  • Risk Assessment and Mitigation: Proactively identify potential risks within the vendor portfolio, such as performance degradation, compliance issues, or financial instability, and assist in developing mitigation plans.
  • Process Improvement: Continuously evaluate and recommend improvements to existing vendor management processes, tools, and workflows to enhance efficiency, scalability, and overall program effectiveness.
  • Market and Industry Research: Stay informed about industry trends, best practices, and emerging technologies in vendor management and the specific domains our vendors operate in.
  • Reporting and Analytics: Generate and distribute regular and ad-hoc reports on vendor performance, program health, and key metrics for management and key stakeholders.
  • Compliance and Audits: Ensure all vendors are compliant with company policies, industry regulations, and data security standards, and support internal and external audit requests as needed.

  • Training and Enablement: Develop and maintain training materials and resources for internal stakeholders on how to effectively engage with and utilize approved vendors.

Required Skills & Competencies
