Core Responsibilities

Primary Functions

  • Manage the complete vendor lifecycle, from initial sourcing, qualification, and onboarding to ongoing performance management, renewal, and strategic offboarding.
  • Develop, cultivate, and maintain strong, collaborative, and long-term relationships with key strategic vendors and partners to drive mutual growth and success.
  • Lead the negotiation and administration of vendor contracts, master service agreements (MSAs), statements of work (SOWs), and pricing to secure favorable business terms and mitigate risk.
  • Define, monitor, and rigorously track vendor performance against key performance indicators (KPIs) and service level agreements (SLAs), addressing any deviations proactively.
  • Organize and lead regular Quarterly Business Reviews (QBRs) and other strategic meetings with top-tier vendors to review performance, discuss roadmaps, and identify opportunities for improvement and innovation.
  • Serve as the primary point of contact and escalation for all vendor-related issues, inquiries, and disputes, facilitating prompt and effective resolution.
  • Proactively identify, assess, and mitigate risks associated with the vendor portfolio, including operational, financial, compliance, and cybersecurity risks.
  • Collaborate closely with internal stakeholders across departments—including Legal, Finance, IT, Security, and business units—to ensure vendor activities are compliant with internal policies and regulatory requirements.
  • Design, implement, and continuously improve the organization's vendor management framework, including standardized policies, processes, and best practices.
  • Maintain a centralized and accurate repository for all vendor contracts, documentation, and performance data, ensuring data integrity and accessibility.
  • Conduct in-depth analysis of vendor spend, performance metrics, and market trends to identify opportunities for cost savings, consolidation, and process optimization.
  • Spearhead the Request for Proposal (RFP) and Request for Information (RFI) processes, working with business owners to define requirements and select the best-fit vendors.
  • Develop and manage comprehensive program documentation, partner-facing training materials, and internal communication plans to ensure clarity and alignment on vendor programs.
  • Facilitate a smooth and efficient vendor onboarding process, ensuring new partners are fully trained on our systems, operational procedures, and cultural expectations.
  • Act as a trusted advisor to internal teams, providing expert guidance on vendor selection, negotiation strategies, and relationship management.
  • Stay abreast of industry trends, emerging technologies, and the competitive landscape to inform vendor strategy and identify potential new partnerships.
  • Track and manage vendor-related budgets, oversee the purchase order process, and collaborate with Accounts Payable to ensure timely and accurate invoice processing and payment.
  • Guarantee vendor adherence to all applicable laws and regulations, including data privacy standards like GDPR and CCPA, and information security protocols.
  • Develop and execute a strategic vendor roadmap that aligns with the company's long-term business goals and drives competitive advantage.
  • Lead and participate in cross-functional projects aimed at optimizing the entire vendor ecosystem and enhancing the value derived from third-party relationships.
  • Administer and champion the use of vendor management systems (VMS) and procurement software to streamline workflows, enhance visibility, and improve reporting capabilities.
  • Conduct thorough due diligence and capability assessments for prospective vendors to ensure they meet our quality, security, and operational standards before engagement.

  • Support ad-hoc data requests and exploratory data analysis to answer critical business questions related to vendor performance and spend.

Required Skills & Competencies

Hard Skills (Technical)

  • Vendor & Contract Management: Deep expertise in the end-to-end vendor lifecycle and contract negotiation/administration.
  • Procurement & Sourcing: Proficiency in procurement principles, including running RFP/RFI processes and strategic sourcing.
  • Data Analysis: Strong ability to analyze performance and financial data using tools like advanced Microsoft Excel (Pivot Tables, VLOOKUPs).
  • Financial Acumen: Solid understanding of budgeting, cost analysis, and financial modeling related to vendor spend.
  • Risk Management: Experience in identifying and mitigating third-party risks (compliance, operational, security).
  • Business Intelligence (BI) Tools: Familiarity with data visualization tools such as Tableau, Power BI, or Looker.

Education & Experience

Educational Background
