Core Responsibilities

Primary Functions

  • Conduct comprehensive market research and analysis to identify, screen, and qualify potential vendors, suppliers, and service providers across various categories.
  • Perform in-depth due diligence on prospective vendors, meticulously evaluating their financial health, operational capabilities, quality control processes, and market reputation.
  • Develop and manage a robust database of vendors, capturing key performance metrics, risk profiles, and historical performance data to inform future sourcing decisions.
  • Create and maintain detailed vendor profiles, including assessments of strengths, weaknesses, opportunities, and threats (SWOT analysis) for key partners.
  • Analyze and compare vendor proposals, bids, and quotes, performing detailed cost-benefit and total cost of ownership (TCO) analyses to recommend the most viable options.
  • Lead the initial stages of the procurement process by developing and issuing Requests for Information (RFI) and Requests for Proposal (RFP) to vetted vendors.
  • Monitor industry trends, market dynamics, and emerging technologies to proactively identify new sourcing opportunities and potential supply chain disruptions.
  • Develop and implement a structured vendor risk assessment framework, evaluating factors such as geopolitical risk, financial instability, compliance issues, and operational vulnerabilities.
  • Collaborate closely with internal stakeholders (including procurement, legal, IT, and finance) to understand their specific requirements and constraints for new vendors.
  • Prepare and present detailed research findings, executive summaries, and data-driven recommendations to leadership and sourcing committees.
  • Track and report on vendor performance against contractual Service Level Agreements (SLAs) and Key Performance Indicators (KPIs).
  • Support the negotiation process by providing negotiators with critical data points, market price benchmarks, and insights into vendor-specific leverage points.
  • Identify and assess potential second-source or alternative suppliers to mitigate dependency on single-source vendors and enhance supply chain resilience.
  • Evaluate vendor diversity and sustainability practices, ensuring alignment with corporate social responsibility (CSR) goals and initiatives.
  • Maintain a central repository of vendor documentation, including contracts, certificates of insurance, compliance forms, and performance reviews.
