Core Responsibilities
Primary Functions
- Conduct comprehensive and continuous market research to identify, evaluate, and qualify potential new vendors, suppliers, and service providers based on rigorous criteria for quality, cost, delivery, and reliability.
- Develop and maintain a dynamic and diverse pipeline of potential vendors to support both immediate operational needs and long-term strategic sourcing initiatives across the enterprise.
- Perform in-depth due diligence and risk assessments on prospective suppliers, including analysis of financial stability, operational capacity, quality control processes, and ethical compliance.
- Analyze evolving market trends, commodity pricing, and competitive landscapes to provide actionable intelligence that informs our sourcing strategies and negotiation tactics.
- Meticulously manage and maintain the integrity of the central vendor master database, ensuring all supplier information is accurate, complete, and compliant with internal governance and external regulations.
- Architect, draft, and distribute detailed Requests for Information (RFIs), Requests for Proposals (RFPs), and Requests for Quotations (RFQs) to potential partners.
- Collaborate closely with cross-functional teams—including Procurement, Legal, Finance, IT, and operational business units—to deeply understand their unique requirements and translate them into effective sourcing criteria.
- Systematically evaluate vendor proposals and bids against predefined scorecards, preparing detailed comparison reports and presenting data-driven recommendations to key stakeholders and decision-makers.
- Facilitate initial vendor meetings, capability presentations, and site visits to thoroughly assess a supplier's operational fit and alignment with our company's culture and values.
- Monitor, track, and report on existing vendor performance using key performance indicators (KPIs) such as on-time delivery, service quality, cost savings, and innovation contributions.
- Proactively identify and mitigate potential risks within the supply chain by continuously assessing vendor dependencies, geopolitical factors, and market volatility.
- Support senior team members in negotiating favorable pricing, contract terms, and Service Level Agreements (SLAs) with new and existing vendors to secure maximum value for the organization.
- Develop and maintain detailed vendor profiles and scorecards to create a foundation for objective decision-making and ongoing supplier relationship management.
- Stay current with industry best practices, emerging technologies, and new regulations related to procurement, sourcing, and vendor management to drive continuous improvement.
- Champion the vendor onboarding process, ensuring all necessary documentation, contracts, and system setups are completed accurately, efficiently, and in a compliant manner.
- Analyze historical and current spend data across various categories to pinpoint opportunities for cost reduction, supplier consolidation, and process optimization.
- Build and cultivate strong, collaborative, long-term relationships with key strategic suppliers to foster a spirit of partnership, innovation, and mutual growth.
- Prepare and present clear, concise reports and executive summaries on research findings, sourcing activities, and market intelligence to senior leadership.
- Serve as a key point of contact for resolving vendor-related issues and disputes, facilitating timely and professional resolutions to maintain positive relationships.
- Actively support and champion supplier diversity initiatives by intentionally seeking out and including small, minority-owned, women-owned, and other diverse businesses in sourcing events.
- Assist in the development, refinement, and implementation of global sourcing and procurement policies and procedures to enhance operational efficiency and ensure compliance.
