  • Coordinate and confirm appointment logistics via phone, email, and scheduling platforms, proactively resolving conflicts and rescheduling as needed to minimize verification delays.

  • Serve as the primary point of contact for external verification vendors and internal stakeholders to escalate urgent verification issues, clarify scope of work, and follow through to timely resolution.
  • Track verification progress against defined KPIs (time-to-verify, completion rate, vendor compliance) and prepare daily/weekly status reports for operations and recruiting leadership.
  • Ensure all verifications are conducted in strict compliance with legal and regulatory requirements (FCRA, HIPAA, state licensing rules) and internal audit standards; document exceptions and corrective actions.
  • Enter and validate detailed verification notes, attachments, and outcome codes in credentialing databases and applicant tracking systems to maintain an auditable trail for audits and inspections.
  • Coordinate on-site or remote verification events (skills validation, facility site visits, clinical competency assessments), including travel logistics, interviewer schedules, and access credentials.
  • Proactively identify verification bottlenecks and collaborate with recruiting, credentialing, and vendor management to implement process improvements that reduce cycle time and improve candidate experience.
  • Conduct outbound and inbound telephone calls to candidates, references, institutions, and licensing boards to obtain verifications; document all interactions with time stamps and next steps.
  • Validate and reconcile discrepancies in employment dates, job titles, licensure status, and education credentials; initiate follow-up actions to obtain corroborating documentation where needed.

  • Maintain and continually update standardized scheduling templates, call scripts, email templates, and SOPs to ensure consistent candidate and stakeholder communications.
  • Train new team members on scheduling workflows, verification systems, and compliance requirements; serve as an escalation resource for complex scheduling scenarios.
  • Coordinate with IT and EHR/EMR teams to ensure accurate handoffs and data integration for provider credentialing, including synchronization of license and privileging records when applicable.
  • Manage sensitive or escalated candidate situations (last-minute cancellations, restricted schedules, confidentiality concerns) with diplomacy and professionalism to preserve candidate relations and organizational reputation.
  • Participate in continuous improvement initiatives (Lean, Six Sigma, or internal Kaizen events) to streamline scheduling processes and reduce redundant touchpoints.

Secondary Functions
