Core Responsibilities

Primary Functions

  • Complex Calendar & Logistics Management: Expertly manage and coordinate intricate schedules for veterinary procedures, clinical appointments, staff travel, and multi-departmental meetings, ensuring the optimal use of facilities, resources, and personnel.
  • Client & Stakeholder Communication: Serve as the primary point of contact for internal and external stakeholders, professionally handling inquiries via phone, email, and in-person, and triaging communications to the appropriate veterinary or program staff.
  • Medical Records & Data Integrity: Maintain immaculate and confidential animal medical records, ensuring all data, including treatments, diagnoses, and lab results, is entered accurately and timely into the practice management or database system.
  • Financial & Budgetary Administration: Process client invoices, manage accounts receivable, prepare and submit expense reports for program staff, and assist in monitoring program expenditures against the budget.
  • Supply & Inventory Oversight: Oversee the inventory of veterinary supplies, pharmaceuticals, and office materials; anticipate needs, place orders with approved vendors, and ensure proper storage and tracking in compliance with regulations.
  • Programmatic & Event Support: Provide end-to-end logistical support for programmatic activities, including workshops, training sessions, and community outreach events, from planning and promotion to on-site execution and follow-up.
  • Documentation & Report Preparation: Assist in drafting, editing, and formatting a variety of documents, including standard operating procedures (SOPs), annual reports, presentations, and grant-related materials for review.
  • Regulatory Compliance Assistance: Help ensure the program adheres to all relevant regulations and standards (e.g., IACUC, USDA, AAALAC) by maintaining compliance documentation, tracking deadlines, and assisting with inspection preparations.
  • Onboarding & Training Coordination: Facilitate the administrative onboarding process for new staff, students, and volunteers, including preparing orientation materials and coordinating initial training schedules.
