Core Responsibilities
Primary Functions
- Proactively identify, source, and recruit high-value guests and influencer clients through phone outreach, social media, networking, partner referrals, and on-premise engagement, maintaining a robust pipeline of potential VIPs and repeat clientele.
- Build and maintain comprehensive VIP profiles in CRM systems including preferences, spending history, important dates, special requests, blackout dates, and personalized notes to ensure highly tailored guest experiences and follow-up communications.
- Drive revenue through strategic upselling of tables, bottle service, private rooms, premium packages, and event add-ons by presenting curated offers, coordinating packages, and leveraging urgency and exclusivity to convert prospects.
- Manage all VIP reservations from inquiry to follow-up, including complex bookings (multi-table arrangements, private areas, multi-night stays), coordinating with operations, security, and FOH teams to guarantee flawless execution.
- Serve as the primary on-the-day contact for assigned VIPs, greeting guests upon arrival, escorting them to reserved areas, coordinating with the service team, and ensuring uninterrupted premium service and discretion throughout their visit.
- Plan and execute bespoke VIP experiences and private events such as bottle service enhancements, celebrity meet-and-greets, birthday and anniversary activations, and high-touch surprises, working closely with events and marketing teams.
- Negotiate and confirm VIP contracts, minimum spends, comps, and terms for high-value bookings while protecting venue margins and ensuring clear expectations for both parties.

- Collaborate with security and door staff to manage guest lists, table allocations, and access control to ensure safety, continuity of experience, and adherence to venue policies for VIPs and their entourages.
- Maintain daily, weekly, and monthly reporting on key VIP metrics including bookings, covers, revenue per VIP, retention rates, and forecasted revenue to inform leadership decisions and promotional strategy.
- Implement targeted outreach campaigns and re-engagement strategies (phone, email, social messaging) to activate cold leads, increase frequency of visits, and convert one-time patrons into recurring VIPs.
- Partner with marketing and social media teams to create and promote exclusive VIP offers, nights, and collaborations, providing guest insights and feedback to maximize event attendance and brand alignment.
- Manage complex billing and invoicing for VIP accounts, ensuring accurate tabs, deposits, credit holds, and timely collections while maintaining discretion and excellent guest relations.
- Liaise with external partners (PR agencies, promoters, talent managers, concierge desks) to source guest lists and coordinate arrival logistics for high-profile visitors and talent.
- Train and mentor FOH staff on VIP protocols and standards—covering topics such as personalized greeting scripts, privacy handling, tray and bottle presentation, and escalation procedures—to ensure consistent high-end service delivery.
- Resolve escalated guest concerns quickly and professionally with empathy and discretion, using problem-solving to turn potential negative experiences into loyalty-building moments.
- Maintain strict confidentiality of VIP information and handle sensitive situations (media presence, celebrity visits, security incidents) with tact and discretion at all times.
- Create and maintain promotional offers and VIP pricing structures aligned with revenue goals and seasonality while monitoring competitive pricing in the market.
- Attend pre-shift meetings, VIP briefings, and post-event debriefs to communicate guest intel, share learnings, and align the team on priorities and upcoming VIP arrivals.
- Manage and reconcile VIP tabs, comps and credit approvals with the finance team, documenting exceptions and ensuring accurate revenue recognition for leadership review.
- Develop and execute targeted outreach for key holidays, event weekends and market-specific peaks, planning staffing, allocations and inventory (bottle stock, premium menu items) to meet VIP demand.
- Maintain an up-to-date knowledge of venue offerings, menus, bottle lists, pricing, private areas and promotions in order to present premium experiences confidently and accurately at the point of sale.
- Represent the venue at off-site networking events and partner meetings to grow the VIP database, create new referral pipelines, and maintain the venue’s brand presence within the local high-net-worth community.
- Conduct periodic guest satisfaction follow-ups and solicit feedback to drive continuous improvement of VIP offerings, and convert feedback into actionable operational or service enhancements.
Secondary Functions
- Support promotional and partnership activations including media nights, influencer events and brand collaborations by coordinating vetted VIP guest lists and on-site welcome logistics.
- Assist with inventory control for premium beverage stock and collaborate with bar management on pre-order lists for large VIP parties to avoid stockouts during peak service times.
