Core Responsibilities

Primary Functions

  • Proactively manage and meticulously coordinate complex calendars for multiple executives, resolving scheduling conflicts and prioritizing appointments to optimize their time and productivity.
  • Handle all aspects of professional correspondence, including managing high-volume email inboxes, drafting communications on behalf of leadership, and triaging messages to ensure timely responses.
  • Plan and coordinate complex domestic and international travel arrangements, including flights, accommodations, ground transportation, and creating detailed itineraries.
  • Prepare, proofread, and format a variety of business documents, including reports, presentations, spreadsheets, and internal communications, ensuring a high standard of quality and brand consistency.
  • Serve as a primary point of contact for internal teams and external stakeholders, professionally representing the organization and directing inquiries to the appropriate resources.
  • Execute accurate and timely data entry and database management within our CRM (e.g., Salesforce, HubSpot), ensuring data integrity for sales and marketing initiatives.
  • Skillfully manage expense reporting and reimbursement processes for executives, ensuring compliance with company policies and timely submission.
  • Facilitate virtual meetings and webinars, managing logistics, preparing agendas, taking detailed minutes, and tracking action items to drive project completion.
  • Provide robust project support by tracking deadlines, updating project management tools (e.g., Asana, Trello), and communicating status updates to all relevant parties.
  • Handle highly confidential and sensitive information with the utmost discretion and professionalism, maintaining trust and security at all times.
  • Conduct thorough online research on various topics, competitors, and market trends to compile information and prepare insightful summaries for leadership.
  • Develop and maintain comprehensive digital filing systems and standard operating procedures (SOPs) to enhance organizational efficiency and knowledge sharing.
  • Assist in the planning and execution of virtual and in-person company events, from coordinating schedules to managing vendors and communications.
  • Onboard new clients or team members by preparing necessary documentation, scheduling orientation meetings, and providing foundational administrative support.
  • Act as a gatekeeper, protecting the time and focus of executives by vetting requests and managing access effectively.

Secondary Functions

  • Support the creation and scheduling of content for company social media channels and internal newsletters.
  • Assist with basic bookkeeping tasks, such as processing invoices, tracking payments, and reconciling accounts under supervision.
  • Monitor key business metrics and compile data into regular performance reports for departmental review.
  • Provide first-level technical support for common software issues and escalate complex problems to the IT department.
  • Manage office supply inventory for remote team members and coordinate equipment shipments as needed.
  • Contribute to a positive remote team culture by assisting with virtual team-building activities and recognition programs.

Required Skills & Competencies

Hard Skills (Technical)

  • Productivity Suites: Expert-level proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace (Docs, Sheets, Slides, Gmail).
  • Project Management Tools: Hands-on experience with platforms like Asana, Trello, Monday.com, or similar project management software.
  • Communication Platforms: Mastery of virtual collaboration tools including Slack, Microsoft Teams, and Zoom (including webinar features).
  • CRM Software: Strong familiarity with CRM systems such as Salesforce, HubSpot, or Zoho for data management and reporting.
  • Typing & Data Entry: Fast and accurate typing skills (65+ WPM) with a keen eye for detail in data entry.

Education & Experience

Educational Background

Minimum Education:
