Core Responsibilities

Primary Functions

  • Manage and maintain complex executive calendars, scheduling internal and external meetings, appointments, and conference calls across multiple time zones.
  • Handle a high volume of email correspondence, acting as a gatekeeper to filter, prioritize, and respond to inquiries on behalf of the team or executive.
  • Perform accurate and timely data entry into various business systems, including CRMs, spreadsheets, and proprietary company software, ensuring data integrity.
  • Prepare, format, and proofread professional documents, including reports, presentations, proposals, and internal communications using Google Workspace and MS Office Suite.
  • Conduct comprehensive online research on a variety of topics to gather and synthesize information, compiling findings into clear and actionable summaries.
  • Provide exceptional first-line customer and client support via email, chat, and phone, professionally resolving issues and answering questions in a timely manner.
  • Coordinate complex domestic and international travel arrangements, including booking flights, accommodations, ground transportation, and creating detailed itineraries.
  • Assist with project management by tracking key deadlines, updating project status in tools like Asana or Trello, and facilitating communication among team members.
  • Manage and update digital filing systems (e.g., Google Drive, Dropbox), ensuring all documents are organized, secure, and easily accessible to the team.
  • Process and track invoices, expense reports, and purchase orders, ensuring compliance with company policies and timely submission.
  • Plan and coordinate virtual events, meetings, and webinars, from sending invitations and managing RSVPs to providing technical support during the event.
  • Transcribe audio and video content from meetings, webinars, and interviews with a high degree of accuracy and attention to detail.
  • Handle sensitive and confidential information with the utmost discretion and professionalism, adhering to all data privacy and security protocols.
  • Update and maintain website content, blog posts, or knowledge bases using content management systems (CMS) like WordPress or SharePoint.
  • Manage company or executive social media accounts, including scheduling posts using tools like Buffer or Hootsuite, engaging with the community, and monitoring activity.
  • Create and maintain standard operating procedures (SOPs) for key administrative tasks to streamline workflows and ensure operational consistency.
  • Generate and distribute regular reports on key performance indicators related to administrative, sales, or operational activities.
  • Provide personal assistant support as required, including managing personal appointments, making reservations, and handling online shopping or research.
  • Liaise with clients, vendors, and external partners to schedule meetings, coordinate deliverables, and foster positive professional relationships.

Education & Experience

Experience Requirements
