Core Responsibilities
Primary Functions
- Prepare, set up and break down workshop and laboratory training areas before and after practical classes, ensuring all tools, equipment and materials are available, calibrated and in safe working order for competency-based vocational delivery.
- Maintain, inspect and perform routine servicing and preventive maintenance on hand tools, power tools, machinery and specialised training rigs in accordance with manufacturer guidelines, WHS/OSHA standards and RTO equipment registers.
- Support trainers during practical demonstrations by preparing materials, setting up demonstration stations, operating machines under supervision and modelling safe work practices and correct tool use.
- Assist with the development, adaptation and trialling of hands-on learning resources, assessment aids, jigs and mock-ups to align practical tasks with competency-based assessment criteria and AQF learning outcomes.
- Conduct hazard identification, risk assessments and safety audits of workshops and training environments; report hazards, complete incident reports and follow up corrective actions to maintain compliance with WHS and RTO requirements.
- Administer and support Learning Management Systems (Moodle, Canvas) and vocational education software (VETtrak, RTO Manager), including uploading resources, tracking training evidence, and assisting trainers and students with access and usage.
- Support trainers and assessors with holistic and formative assessment processes by preparing assessment tools, organising assessment venues, observing demonstrations and capturing evidence aligned to unit requirements.
- Facilitate equipment and simulator setup for workplace simulations, ensuring scenarios replicate industry conditions, and prepare consumables, PPE and industry-specific materials for student cohorts.
- Calibrate and test measurement instruments, gauges and specialised devices; maintain calibration logs and documentation to meet audit and competency evidence requirements for regulators.
- Monitor and manage stock of consumables, PPE and spare parts for training programs, coordinate procurement and inventory control, and liaise with suppliers for timely delivery to avoid disruption to training delivery.
- Provide direct student support during practical classes including individual coaching, corrective feedback on technique, strategies to improve competency attainment and referral to trainers for assessment or additional instruction.
- Maintain accurate student records, training logs and evidence portfolios in digital and hardcopy formats, ensuring traceability of competency decisions and readiness for RTO compliance audits and external verification.
- Assist with Recognition of Prior Learning (RPL) processes by preparing workplace evidence collection kits, undertaking workplace visits where required and supporting assessors in capturing authentic evidence.
- Support the issuance and verification of statements of attainment and certificates under the direction of trainers and the RTO administration, ensuring correct unit codes and student identifiers.
- Troubleshoot basic electrical, pneumatic or mechanical faults on training equipment and liaise with external service technicians for complex repairs, documenting service histories and downtime impacts.
- Coordinate scheduled bookings of training spaces, equipment and specialist facilities across multiple cohorts, resolving clashes and optimising resource utilisation to meet delivery timelines.
- Apply industry standards and current trade practices (automotive, electrical, fabrication, construction, horticulture, hospitality, etc.) to maintain training relevance and ensure students practice tasks that meet employer expectations.
- Support trainer professional development by providing feedback on workshop layout, resource needs and emerging equipment trends that enhance teaching effectiveness and hands-on learning outcomes.
- Implement and monitor cleaning, waste disposal and hazardous materials protocols, including storage of flammable or controlled substances, SDS documentation and safe handling for student and staff safety.
- Contribute to continuous improvement by collecting student feedback on practical sessions, identifying equipment or resource gaps, and proposing actions to improve the quality and efficiency of vocational program delivery.
- Assist with external industry engagement by organizing workplace visits, employer demonstrations, guest trainers or site-based practical assessments to strengthen industry-education linkages.
- Supervise students during practical assessments and workplace simulations to ensure fair and safe assessment conditions and adherence to assessment rules of evidence and RTO policies.
- Prepare and maintain technical documentation, operation manuals and quick reference guides for students and staff to support safe and consistent use of workshop machinery and processes.
Secondary Functions
- Support curriculum and assessment document version control and contribute to minor content updates that reflect changes in industry practice or regulation.
- Provide administrative backup for enrolment checks, unit code reconciliation and simple data entry tasks to help RTO teams meet reporting deadlines.

Required Skills & Competencies
Hard Skills (Technical)

Education & Experience
Educational Background
Minimum Education:
- Certificate III or Diploma level qualification in a trade or technical discipline (e.g., Carpentry, Automotive, Electrotechnology, Engineering Fabrication) OR Certificate IV TAE (Training and Assessment) where practical support duties include assessment assistance.
Preferred Education:
- Diploma or Associate Degree in Vocational Education, Technical Education, Engineering Technology or related field.
- Certificate IV TAE (Training and Assessment) or working towards the qualification; formal assessor qualifications preferred for roles supporting assessments.
