Core Responsibilities

Primary Functions

  • Act as the first point of contact for program inquiries, providing detailed information to prospective participants, community partners, and employers with a professional and welcoming demeanor.
  • Manage the participant lifecycle from application to completion, including processing applications, tracking enrollment statuses, and ensuring all required documentation is accurately collected and filed.
  • Maintain and meticulously update participant databases and case management systems (like Salesforce or similar CRMs) with attendance records, progress notes, and outcome data.
  • Coordinate program logistics, which includes scheduling classes and workshops, booking rooms or virtual meeting spaces, and arranging for necessary equipment and supplies.
  • Prepare, assemble, and distribute a wide range of program materials, such as training manuals, workshop handouts, orientation packets, and completion certificates.
  • Provide direct, non-counseling support to program participants, helping them navigate program requirements, access resources, and troubleshoot minor issues to ensure they stay on track.
  • Assist program coordinators and instructors by setting up classroom technology, managing class rosters, and providing real-time support during training sessions.
  • Facilitate clear and consistent communication between staff, instructors, and participants through email, newsletters, phone calls, and program management software.
  • Support the participant job search process by assisting with resume formatting, cover letter proofreading, and the organization of online job application materials.
  • Liaise with external partners, including employers and community resource providers, to schedule guest speakers, coordinate hiring events, and facilitate referrals.
  • Track and manage the inventory of program supplies, materials, and equipment, initiating purchase orders when necessary to ensure resources are always available.
  • Assist in the collection of feedback from participants through surveys and informal check-ins to contribute to continuous program improvement efforts.
  • Generate standard and ad-hoc reports on key program metrics such as enrollment, attendance, retention, and completion rates for internal review and funder requirements.

Secondary Functions

  • Support outreach and recruitment efforts by representing the program at community fairs, information sessions, and virtual events.
  • Assist in the planning and execution of special program events, including graduation ceremonies, networking mixers, and employer showcases.
  • Monitor the program's general email inbox and phone lines, responding to inquiries promptly or directing them to the appropriate team member.
  • Perform general office duties such as filing, scanning, photocopying, and data entry to ensure the administrative backbone of the program is strong and organized.
  • Help maintain a clean, organized, and welcoming environment for participants in both physical and virtual program spaces.
  • Participate actively in team meetings, staff development days, and strategic planning sessions, offering insights from your on-the-ground perspective.
  • Collaborate with the finance department to process participant stipends, reimbursements, or other financial support in a timely and accurate manner.

Education & Experience

Educational Background

Minimum Education:

  • Social Work, Human Services, Psychology, Sociology

Experience Requirements

Typical Experience Range: 2-4 years of administrative or program support experience.

Preferred: Experience working in a non-profit, social service, or educational setting is highly desirable. Direct experience supporting workforce development, vocational training, or career services programs is a significant plus.
