A Vocational Training Facilitator is an experienced trainer and industry liaison responsible for designing, delivering and assessing competency‑based vocational programs that prepare learners for trade, technical and occupational roles. The facilitator develops curriculum and learning materials, delivers classroom and workplace training (including blended and e‑learning), conducts valid assessment and certification processes, maintains learner records and compliance, and builds employer partnerships to support placements, apprenticeships and job outcomes. This role demands strong adult‑learning practice, assessment expertise, industry technical knowledge and excellent stakeholder management to ensure training meets regulatory, funding and labour market requirements.

Core Responsibilities

Primary Functions

  • Design and develop competency‑based training programs and assessment tools aligned to national/state vocational training frameworks and industry standards; ensure learning outcomes are measurable, relevant and mapped to qualification units.
  • Deliver high‑quality classroom, workshop and on‑the‑job training using adult learning principles and a variety of pedagogical methods (demonstration, coaching, practical simulation, blended learning) to accommodate diverse learner needs.
  • Conduct formative and summative assessments, including workplace observation, practical demonstrations, written assessments and RPL (Recognition of Prior Learning) processes; prepare assessment evidence, marking guides and assessor judgment records.
  • Maintain currency of training materials and resources by researching industry practices, updating content to reflect new regulations, technology and employer requirements, and incorporating competency standards and compliance changes.
  • Manage learner enrolments, attendance monitoring, progress tracking and individual learning plans; provide feedback, progress reports and remediation to support successful completion and competency attainment.
  • Facilitate workplace visits and on‑site assessments, liaising with employers and supervisors to ensure safe, authentic assessment conditions and to validate workplace competencies.
  • Implement and maintain assessment validation and moderation processes; participate in internal and external moderation, provide validation evidence and drive continuous improvement of assessment instruments.
  • Maintain accurate and compliant student records, training logs, assessment outcomes and reporting in the Learning Management System (LMS) and/or Student Management System (SMS) to meet regulatory and funding body requirements.
  • Develop and deliver induction and safety training, including occupational health and safety (OHS/WHS) requirements, safe work procedures and industry best practices to ensure a safe learning environment.
  • Customize training delivery to meet employer and client needs (contract training, traineeships and bespoke upskilling), including scoping client requirements, preparing tailored learning packages and delivering workplace coaching.
  • Mentor and support apprentices, trainees and adult learners to build workplace readiness, employability skills and career pathways through one‑on‑one coaching, goal setting and soft‑skills development.
  • Coordinate assessment scheduling, resource allocation and equipment maintenance to ensure sessions run smoothly and comply with accreditation and workplace safety standards.
  • Collaborate with industry stakeholders, employer partners and apprenticeship networks to facilitate work placements, on‑the‑job training opportunities and job outcomes for learners.
  • Monitor and report on program KPIs (completion rates, employment outcomes, assessment pass rates) and prepare regular management reports to inform program improvements and funding compliance.
  • Conduct learner needs analysis and pre‑training assessments to identify gaps, adapt delivery strategies and ensure appropriate foundation skills support (literacy, numeracy, digital skills).
  • Develop e‑learning modules and multimedia instructional resources using authoring tools or in partnership with instructional designers to support blended learning and remote delivery.
  • Facilitate group activities, workshops and competency demonstrations that promote peer learning, collaboration and practical problem solving aligned with real workplace scenarios.
  • Ensure training delivery meets quality assurance standards and regulatory requirements for registered training organisations, including audit preparation and continuous improvement actions.
  • Provide career guidance and referral services, linking learners to job search support, industry bodies, apprenticeship pathways and further study opportunities.
  • Manage classroom and workshop behavior, enforce code of conduct, and implement inclusive practices that support learners from diverse cultural and educational backgrounds.
  • Participate in professional development to maintain trainer and assessor currency, relevant industry licences and technical qualifications; document CPD activities.
  • Support funding and compliance activities including evidence collection for funding contracts, student eligibility checks and completion verification.

Secondary Functions

  • Assist with marketing and recruitment activities (information sessions, open days, program brochures) to attract industry partners and prospective learners.
  • Support administration tasks such as invoicing for training services, preparing training schedules and maintaining equipment inventories.
  • Contribute to grant and tender responses by providing technical input on program design, delivery methodologies and expected outcomes.
  • Participate in cross‑functional project teams to pilot new training models, digital learning initiatives or industry partnership programs.
  • Provide feedback to curriculum designers and senior management on emerging skill needs and local labour market trends.
  • Support ad hoc quality audits and prepare documentation for accreditation renewals and external reviews.

Required Skills & Competencies

Hard Skills (Technical)

  • Curriculum design and instructional planning for competency‑based vocational qualifications and units of competency.
  • Conducting formal assessments, workplace observation, RPL assessment and writing valid assessment instruments and marking guides.
  • Practical industry skills and trade competence relevant to the training area (e.g., electrical, plumbing, hospitality, Horticulture, metal fabrication, automotive, IT).

  • Record keeping and document control for certification, issuing statements of attainment, and maintaining secure assessment evidence.
  • Assessment validation and moderation methods to ensure consistency and fairness across assessors and assessment events.
  • Basic equipment setup, diagnostic and maintenance skills for workshop machinery and training simulators relevant to the trade area.

Education & Experience

Educational Background

Minimum Education:

  • Certificate IV (or equivalent) in Training and Assessment (e.g., TAE401xx or regional equivalent) or relevant assessor qualification.
  • Relevant trade/industry qualification or demonstrated occupational competency in the relevant vocational area.

Preferred Education:

  • Diploma or Bachelor’s degree in Education, Vocational Education & Training, Adult Learning, Workforce Development, or a relevant technical discipline.
  • Additional qualifications in instructional design, occupational health & safety or industry‑specific certifications.

Experience Requirements
