Core Responsibilities

Primary Functions

  • Direct and manage the end-to-end project lifecycle for complex voice and conversational AI initiatives, from initial ideation and requirements gathering through to design, development, testing, deployment, and post-launch optimization.
  • Develop comprehensive, detailed project plans that outline scope, timelines, budget, resource allocation, and key deliverables, ensuring alignment with the strategic product roadmap.
  • Lead and motivate cross-functional project teams—including software engineers, conversation designers, UX researchers, data scientists, and QA analysts—fostering a collaborative and high-performance environment.
  • Act as the primary point of contact and communication hub for all project stakeholders, providing regular, clear, and concise status updates, and expertly managing expectations at all levels of the organization.
  • Proactively identify, assess, and mitigate project risks and dependencies, developing contingency plans to ensure successful and timely project delivery without compromising quality.
  • Translate ambiguous business requirements and user needs into clear, actionable technical specifications and user stories for the development and design teams.
  • Manage relationships and coordinate efforts with external vendors and third-party technology partners, particularly those providing core voice technologies like ASR, NLU, and TTS engines.
  • Oversee the entire data pipeline for training and evaluating machine learning models, including data sourcing, collection, annotation, and quality assurance processes.
  • Define, monitor, and report on key performance indicators (KPIs) and success metrics for voice applications, such as intent recognition rates, task completion, containment, and user satisfaction (CSAT).
  • Champion and enforce Agile/Scrum best practices, facilitating sprint planning, daily stand-ups, sprint reviews, and retrospectives to drive iterative progress and continuous improvement.
  • Ensure all voice applications and features comply with relevant legal, privacy, and accessibility standards (e.g., GDPR, CCPA, WCAG).
  • Develop and maintain all essential project documentation, including project charters, risk registers, communication plans, and stakeholder analyses.
  • Plan and coordinate User Acceptance Testing (UAT) cycles with business stakeholders, ensuring all feedback is triaged, prioritized, and incorporated into the development backlog.
  • Conduct thorough project post-mortems to analyze successes and failures, documenting lessons learned to drive improvements in future project execution and team processes.
  • Manage project budgets and financial forecasting, tracking expenditures and ensuring projects are completed within their approved financial constraints.
  • Facilitate effective decision-making processes, ensuring key architectural and product decisions are made in a timely manner with the right stakeholder input.
  • Collaborate closely with Product Managers to align project execution with the long-term product vision and strategy for the company's conversational AI ecosystem.
  • Stay at the forefront of the rapidly evolving voice technology landscape, bringing new ideas, tools, and best practices back to the team to foster innovation.
  • Drive the A/B testing and experimentation strategy for voice features, using data-driven insights to guide iterative enhancements to the user experience.
  • Define and refine the operational-readiness and go-to-market plans for new voice application launches, coordinating with marketing, support, and operations teams.

Secondary Functions

  • Stay abreast of emerging trends, technologies, and best practices in conversational AI, NLU, speech recognition, and project management.
  • Contribute to the creation and refinement of the team's internal best practices, playbooks, and standardized project management methodologies.
  • Mentor junior project managers or coordinators within the organization, sharing knowledge and expertise to foster team growth.
  • Assist in the preparation of business cases and ROI analyses for proposed new voice technology projects and investments.

Required Skills & Competencies

Hard Skills (Technical)

  • Agile & Scrum Methodologies: Deep expertise in running projects using Agile frameworks, including Scrum and Kanban, with a proven ability to lead ceremonies and manage backlogs.
  • Project Management Software: High proficiency with tools like Jira, Confluence, Asana, and MS Project for planning, tracking, and reporting.
  • SDLC Knowledge: Strong understanding of the full Software Development Lifecycle (SDLC), from conception to deployment and maintenance in a tech environment.
  • Conversational AI Concepts: Solid foundational knowledge of the voice technology stack, including Automatic Speech Recognition (ASR), Natural Language Understanding (NLU), Dialog Management, and Text-to-Speech (TTS).

  • API & System Integration: Familiarity with API-driven architectures and the complexities of integrating third-party services and platforms.

Education & Experience

Educational Background

Minimum Education:

  • Bachelor's Degree in a relevant field.

Preferred Education:

  • Master’s Degree in a technical or business field.
  • Project Management Professional (PMP) or Certified ScrumMaster (CSM) certification is highly desirable.

Relevant Fields of Study:

Experience Requirements

Typical Experience Range:

  • 5+ years of experience in technical project management, with a minimum of 2-3 years specifically managing software, AI/ML, or other complex technology-driven projects.

Preferred:

  • Direct, hands-on experience managing the full lifecycle of a voice-enabled application, chatbot, or other conversational AI product.
  • Proven track record of successfully delivering projects on-time and on-budget within a cross-functional, Agile development environment.
  • Experience working directly with engineers, UX/VUI designers, and data scientists on a daily basis.
