Core Responsibilities

Primary Functions

  • Develop and execute a comprehensive, strategic plan for volunteer engagement that aligns with the organization's mission, goals, and long-term vision.
  • Oversee the full lifecycle of volunteer management, including targeted recruitment, screening, interviewing, and placement of a diverse and qualified volunteer base.
  • Design, implement, and continuously improve a structured and engaging onboarding and training program for all volunteers, ensuring they are well-prepared for their roles.
  • Establish and manage a systematic volunteer retention strategy, focusing on creating a rewarding and meaningful experience to foster long-term commitment.
  • Create and manage a comprehensive volunteer recognition program to celebrate contributions, boost morale, and build a strong sense of community.
  • Serve as the primary point of contact and an inspirational leader for all volunteers, providing ongoing support, guidance, and performance feedback.
  • Collaborate with department heads and program staff to identify volunteer needs and develop clear, well-defined volunteer role descriptions.
  • Develop and manage the annual budget for the volunteer program, ensuring efficient use of resources and tracking all related expenditures.
  • Implement and maintain a volunteer management database or CRM (e.g., Volgistics, Better Impact, Salesforce) to track hours, manage data, and streamline communication.
  • Create and enforce policies, procedures, and standards for the volunteer program to ensure safety, quality control, and risk management.
  • Cultivate and maintain strong relationships with community organizations, corporations, and educational institutions to build a pipeline for volunteer recruitment.
  • Develop and analyze key performance indicators (KPIs) to measure the effectiveness of the volunteer program, such as recruitment rates, retention statistics, and volunteer satisfaction.
  • Prepare and present regular, detailed reports on volunteer program activities, impact, and outcomes to senior leadership and the Board of Directors.
  • Act as a public-facing ambassador for the organization, representing the volunteer program at community events, speaking engagements, and partnership meetings.
  • Mediate and resolve any conflicts or issues involving volunteers, ensuring a professional and respectful environment for all participants.
  • Plan and execute large-scale volunteer events, including appreciation dinners, service days, and recruitment fairs.
  • Stay current on best practices, trends, and legal requirements in volunteer management and the non-profit sector.
