Core Responsibilities
Primary Functions
- Serve as the primary administrator and technical expert for the volunteer management database (e.g., Volgistics, Better Impact, Salesforce for Nonprofits), ensuring data integrity, accuracy, and confidentiality.
- Process and track all incoming volunteer applications, ensuring timely follow-up and a positive candidate experience from initial inquiry to placement.

- Respond promptly and professionally to a high volume of inquiries from prospective and current volunteers via email, phone, and in-person, providing clear information and support.

- Generate and analyze regular and ad-hoc reports on key volunteer metrics, including recruitment numbers, retention rates, volunteer hours, and demographic data for internal and external stakeholders.
- Coordinate the scheduling of volunteers for various shifts, projects, and events, working closely with department heads to understand their staffing needs and fill openings effectively.
- Provide ongoing technical support and training to both staff and volunteers on how to use the volunteer management software and other related digital tools.
- Maintain and update volunteer position descriptions and postings on the organization's website and external recruitment platforms like VolunteerMatch and Idealist.
- Assist in the creation and distribution of regular volunteer communications, such as e-newsletters, program updates, and special announcements, to keep the volunteer community engaged and informed.
- Meticulously track and record all volunteer hours, ensuring accuracy for reporting, grant applications, and volunteer recognition programs.
- Play a key role in the logistical planning and execution of volunteer orientation and ongoing training sessions, including preparing materials, managing RSVPs, and setting up training spaces.
- Support the planning and implementation of volunteer recognition strategies and events, helping to celebrate the contributions and impact of our volunteers.
- Conduct regular audits of the volunteer database to clean up data, merge duplicate records, and ensure all information is current and compliant with privacy policies.
- Assist with surveying volunteers to gather feedback on their experience, satisfaction, and suggestions for program improvement.
- Manage the inventory of volunteer-related supplies, such as name badges, apparel, and training materials, and process orders as needed.
- Collaborate with the marketing and communications team to develop compelling recruitment materials and stories that highlight the value and impact of volunteering.
