Core Responsibilities

Primary Functions

  • Develop and execute a strategic, year-round volunteer recruitment plan that targets diverse audiences (students, retirees, corporate groups, affinity networks) using social media, community partnerships, job boards, and campus outreach to meet program needs and seasonal demand.
  • Manage the full volunteer lifecycle: intake, screening, criminal background checks, placement, onboarding, training, scheduling, performance monitoring, recognition, and offboarding — ensuring a safe, compliant, and rewarding volunteer experience.
  • Design and deliver role-specific onboarding and training curricula (both in-person and virtual) including orientation materials, position descriptions, competency checklists, and ongoing professional development opportunities to prepare volunteers for success.
  • Maintain and administer volunteer management software (e.g., VolunteerHub, Better Impact, Galaxy Digital, Salesforce Nonprofit Cloud) to track volunteer shifts, hours, certifications, background checks, skills, personas, and placement history for reliable reporting and scheduling.
  • Coordinate daily/weekly volunteer schedules and shift assignments across programs and events, balancing program needs and volunteer preferences while minimizing coverage gaps and last-minute cancellations.
  • Collaborate with program managers to translate operational needs into volunteer role descriptions, training requirements, supervision plans, and success metrics to ensure alignment between volunteer contribution and program outcomes.
  • Establish and monitor volunteer policies, procedures, safety protocols, and confidentiality agreements; ensure compliance with organizational standards, regulatory requirements, and funder/grant stipulations.
  • Create and implement volunteer recognition and retention initiatives (e.g., milestone awards, appreciation events, newsletters, certificates, reference letters) to increase engagement, reduce turnover, and cultivate long-term ambassadors.
  • Lead volunteer onboarding for large-scale or high-visibility events (fundraisers, community outreach days, emergency response) including logistics, volunteer briefing, site orientation, and real-time problem resolution.
  • Train, coach, and support volunteer leaders and peer supervisors (team leads, mentor volunteers) to extend supervisory capacity, maintain quality of service, and foster leadership pathways within the volunteer pool.
  • Build and sustain strategic community partnerships with schools, corporations, faith organizations, and civic groups to secure recurring volunteer cohorts, corporate volunteering days, and in-kind support.
  • Maintain accurate volunteer records, prepare monthly/quarterly reports on volunteer hours, demographics, retention, satisfaction, program ROI, and qualitative outcomes for senior leadership and grant reporting.
  • Implement continuous improvement practices (surveys, focus groups, exit interviews) to gather volunteer feedback, identify pain points, and iterate on program design, onboarding, and recognition strategies.
  • Manage volunteer-related communications: recruitment copy, orientation materials, volunteer newsletters, social media posts, and site-specific instructions that are clear, inclusive, and optimized for accessibility.
  • Coordinate background screening, immunization verification, and compliance checks (where applicable) and maintain secure documentation following privacy regulations and organizational policies.
  • Support fundraising and stewardship efforts by integrating volunteers into donor cultivation activities, special events, and stewardship lists; collaborate with development to document volunteer impact for grant proposals.
  • Develop and monitor volunteer program budgets, including supplies, training materials, recognition items, and event logistics; seek cost-effective solutions and in-kind donations.
  • Respond to volunteer inquiries, conflict situations, and performance challenges promptly and professionally, applying conflict resolution techniques and escalation processes to preserve volunteer and client experience.
  • Create position competency frameworks and volunteer performance evaluation tools to assess fit, skill development, training needs, and opportunities for advancement into paid or leadership roles.
  • Lead onboarding and ongoing management of youth volunteers and school-based placements, ensuring appropriate supervision, parental consent, and age-appropriate role assignments that comply with child-safety policies.
  • Coordinate with HR and legal teams to align volunteer agreements, confidentiality waivers, and liability coverage; advise on volunteer-related policies during organizational planning.
  • Design targeted outreach campaigns for underserved or underrepresented groups to increase volunteer diversity and ensure inclusive volunteer programs that reflect community demographics.
  • Facilitate quarterly or annual volunteer advisory councils or committees to solicit volunteer leadership input, co-create program improvements, and enhance volunteer voice in organizational decision-making.

Education & Experience

Educational Background

Minimum Education:

  • Associate degree or relevant equivalent experience in volunteer coordination, nonprofit administration, communications, or human services.
