Core Responsibilities

Primary Functions

  • Act as the first point of contact for all volunteer inquiries, responding in a timely, professional, and welcoming manner via email, phone, and in-person interactions.
  • Assist in the full-cycle recruitment of volunteers, including posting opportunities on online platforms, attending community fairs, and developing outreach materials.
  • Process volunteer applications, conduct initial screenings and interviews, and manage the completion of background and reference checks in line with organizational policies.
  • Meticulously maintain and update the volunteer management database (e.g., Volgistics, Better Impact) with accurate records, service hours, and contact information.
  • Coordinate and manage volunteer schedules and assignments, ensuring all programs, events, and operational needs have adequate volunteer coverage.
  • Facilitate engaging and informative volunteer orientation and onboarding sessions to ensure all new volunteers are well-prepared and integrated into the organization's culture.
  • Serve as a primary support resource for active volunteers, proactively addressing questions, providing guidance, and resolving minor issues to ensure a positive experience.
  • Draft, edit, and distribute regular communications to the volunteer corps, including engaging newsletters, critical updates, and scheduling reminders.
  • Support the Volunteer Manager in planning and executing volunteer recognition programs, appreciation events, and other engagement initiatives to foster a sense of community.
  • Track, compile, and analyze volunteer service hours and other key metrics, generating regular, detailed reports for program managers and leadership.
  • Collaborate with various internal departments to assess their volunteer needs and effectively match volunteers' skills and interests to suitable roles and projects.
  • Ensure a positive, safe, and inclusive environment is maintained for all volunteers throughout every touchpoint of their journey with the organization.

Secondary Functions

  • Support the development and updating of essential program documents, including volunteer handbooks, training manuals, and position descriptions.
  • Provide logistical and on-site support for volunteer-led events and programs, including material preparation, room setup, and day-of coordination.
  • Collect and synthesize feedback from volunteers and staff through surveys and conversations to help identify areas for program improvement.
  • Manage the inventory of departmental supplies, including volunteer apparel, name tags, and recognition items, placing orders as necessary.
  • Update and maintain the volunteer section of the organization's website to ensure information is current and compelling for prospective volunteers.
  • Represent the organization professionally at community outreach events, corporate partner fairs, and networking functions to promote volunteer opportunities.
  • Assist with general administrative duties for the volunteer services department, such as filing, data entry, mailings, and correspondence.
  • Conduct exit interviews or surveys with departing volunteers to gather constructive feedback for continuous program enhancement.
  • Contribute to social media content creation that highlights volunteer stories, impact, and current opportunities.
  • Research best practices in volunteer management to contribute fresh ideas for engagement, retention, and recognition strategies.

Required Skills & Competencies

Hard Skills (Technical)

  • High proficiency in Microsoft Office Suite, particularly Word, Excel, Outlook, and PowerPoint.
  • Direct experience using volunteer management software or constituent relationship management (CRM) systems (e.g., Volgistics, Better Impact, Salesforce for Nonprofits).
  • Strong database management and data entry skills with a proven commitment to accuracy and detail.
  • Familiarity with using social media platforms (LinkedIn, Facebook, Instagram) and online portals for volunteer recruitment.
  • Experience with mass communication tools like Mailchimp or Constant Contact for creating and distributing newsletters and updates.

Education & Experience

Educational Background

Minimum Education:

  • High School Diploma or GED equivalent.

Experience Requirements

Typical Experience Range:
