Core Responsibilities

Primary Functions

  • Coordinate end-to-end volunteer intake and onboarding processes, including processing applications, conducting interviews, verifying references, completing background checks, and ensuring required immunizations and training are documented prior to placement.
  • Maintain and administer the volunteer management system (VMS) or database (e.g., Volgistics, Better Impact, Salesforce Nonprofit Cloud) to track volunteer hours, roles, certifications, clearances, and assignment history; produce weekly and monthly reports for leadership and compliance audits.
  • Create, maintain, and publish accurate volunteer schedules that align volunteer availability with unit needs, clinical shift requirements, and peak program demands while proactively managing substitutions and last-minute coverage.
  • Deliver standardized volunteer orientations and role-specific training sessions (in-person and virtual), including HIPAA/privacy, infection control, workplace safety, and hospital-specific policies; evaluate comprehension and maintain training records.
  • Serve as the primary on-site representative for volunteers during assigned shifts, resolving immediate concerns, responding to unit requests, providing role coaching, and escalating clinical or safety incidents to supervisory staff as required.
  • Partner with clinical and departmental leaders to assess volunteer role effectiveness, develop new volunteer assignments, and ensure volunteers are aligned to activities that meet institutional priorities and patient care standards.
  • Implement and manage volunteer recognition programs (awards, service pins, appreciation events, newsletters) that increase retention, improve satisfaction scores, and support long-term engagement.
  • Monitor volunteer performance and compliance; document performance concerns, conduct follow-up coaching, and, when necessary, implement corrective action or reassignments in accordance with policy.
  • Coordinate student and practicum placements, including scheduling, compliance checks, and liaison activities with schools and community organizations to support internships, community service, and clinical observation opportunities.
  • Lead recruitment and targeted outreach campaigns (job boards, local colleges, faith-based organizations, community events, social media) to maintain a pipeline of qualified volunteers that reflects community diversity and program needs.
  • Administer volunteer credentialing tasks such as badge issuance, ID renewals, parking permits, and building access; ensure timely removal of credentials for inactive or terminated volunteers.
  • Maintain up-to-date volunteer handbooks, role descriptions, policies, and procedure documentation and ensure materials are accessible and compliant with organizational standards.
  • Compile and analyze volunteer program metrics—hours served, retention rates, placement fill rates, satisfaction survey results—and present actionable insights and dashboards to leadership to drive continuous improvement.
  • Coordinate logistics and operational support for volunteer-led services and special events, including station setup, resource allocation, signage, supplies, and volunteer briefings to ensure safe and efficient execution.
  • Manage confidential records related to volunteers in accordance with HIPAA and organizational privacy requirements; ensure secure storage and proper disposal of sensitive documents.
  • Serve as a liaison to community partners, partner agencies, and referral sources to coordinate joint volunteer activities, project-based volunteers, and community service partnerships.
  • Troubleshoot day-to-day volunteer issues related to scheduling conflicts, role clarity, accessibility accommodations, and communication breakdowns to maintain a positive volunteer experience.
  • Support budgetary and procurement tasks for the volunteer program by tracking supply needs, recommending purchases, and reconciling small program expenses or petty cash used for volunteer recognition and events.
  • Facilitate volunteer exit interviews and analyze feedback to identify trends and make recommendations to improve recruitment, onboarding, and retention strategies.
  • Ensure adherence to safety protocols, infection prevention practices, and emergency preparedness procedures for all volunteers; participate in emergency staffing and call-down lists when needed.
  • Support diversity, equity, and inclusion initiatives by helping recruit and retain volunteers from under-represented communities and by ensuring program accessibility and cultural competence.
  • Collaborate with marketing and communications to create volunteer-focused materials (brochures, web content, social posts) that attract applicants and reinforce program branding.

Educational Background

Minimum Education:
