Core Responsibilities
Primary Functions
- Receive incoming shipments of parts and components, perform detailed inspection for accuracy and damage, verify packing lists and vendor documentation, and log discrepancies into the WMS/ERP to initiate claims or vendor returns.
- Accurately identify, label, and store parts using standardized bin locations, part numbers and barcode labels, ensuring traceability and FIFO/LIFO compliance where applicable for serialized or perishable items.
- Pick, pack and stage parts for internal service technicians, customer orders, and external shipments, using pick lists from the ERP/WMS and applying packing standards to minimize damage and ensure on-time delivery.
- Execute scheduled and ad-hoc cycle counts, variance investigations, and reconciliation activities to maintain daily inventory accuracy targets; prepare corrective action reports and coordinate adjustments with purchasing and accounting.
- Operate powered industrial trucks (sit-down/stand-up forklifts, pallet jacks, reach trucks) safely and efficiently to move and retrieve bulk and large-sized parts; maintain current certification and follow OSHA and company safety standards.
- Process returns, warranty parts, and core exchanges: inspect returned goods, document condition, coordinate warranty claims with vendors/manufacturers, and disposition parts according to company policy.
- Maintain and update parts master data in the ERP/WMS (descriptions, part numbers, alternate parts, pricing, bin locations and minimum/maximum levels) to reduce mis-picks and support automated replenishment.
- Prepare and review shipping documentation (BOLs, commercial invoices, packing slips), schedule carrier pickups, and coordinate with freight forwarders to ensure timely outbound shipments and claim handling.
- Assist with parts pricing, quoting and availability checks for sales and service teams; provide accurate lead times, substitute options and suggestions to minimize customer downtime.
- Conduct quality inspections of received and stored parts, tag defective items, segregate quarantine inventory and manage scrap/disposition workflows with environmental and safety compliance in mind.
- Support kitting and assembly operations by assembling parts kits, verifying kit completeness against Bill of Materials (BOM), and staging kits to production or service work orders.
- Monitor slow-moving, obsolete and excess inventory; generate reports, coordinate disposition activities, and work with purchasing and sales to execute returns, markdowns or liquidation when appropriate.
- Provide technical parts support to technicians and customers: interpret parts diagrams, OEM service manuals, and cross-reference part numbers to find correct replacements or compatibles.
- Use handheld barcode scanners, RF terminals and mobile devices to update transactions in real-time; troubleshoot scanning or labeling issues and support barcoding initiatives to improve accuracy.
- Replenish pick faces and bin locations daily, maintain organized shelf presentation, and ensure inventory is accessible for high-turnover parts to speed order fulfillment.
- Track and report key performance indicators (KPIs) including pick accuracy, on-time shipments, inventory accuracy, fill rate and days of supply; propose process improvements to increase throughput and reduce costs.
- Coordinate vendor returns, RMA processing, and core billing with finance and procurement teams; prepare supporting documentation and maintain vendor communication until resolution.
- Train and coach new warehouse and parts staff on procedures, safety protocols, inventory processes, picking standards and ERP/WMS transaction entry to ensure consistent performance.
- Participate in safety, 5S and continuous improvement initiatives: lead small kaizen events, implement labeling improvements, optimize bin locations and reduce travel time for frequent picks.
- Manage hazardous and regulated parts in accordance with regulatory requirements (MSDS/SDS handling), ensure proper storage and labeling, and execute required shipping protocols for hazardous materials.
- Support year-end and periodic physical inventories by preparing schedules, reconciliations, and verifying frozen counts with accounting and inventory control.
- Communicate proactively with internal stakeholders (service managers, production planners, sales) to prioritize urgent parts requests and coordinate rush shipments or special handling.
- Maintain warehouse equipment and tooling (scales, label printers, pallet jacks) and coordinate maintenance or replacement to prevent downtime that impacts parts availability.
