Core Responsibilities
Primary Functions
- Conduct thorough incoming inspection of raw materials, components and finished goods using standardized checklists, sampling plans and acceptance criteria to verify conformance to purchase orders, drawings and specifications.
- Perform systematic visual inspections and tactile tests on products and packaging for defects, damage, correct labeling, lot codes and traceability; document findings and quarantine non-conforming items according to SOPs.
- Execute defined sampling plans and statistical quality control (SQC/SPC) procedures, collect representative samples, record measurements, and input results into quality logs and ERP/WMS systems.
- Use inspection tools and measurement instruments (calipers, micrometers, gauges, tape measures, scales) and ensure tools are calibrated, tagged and maintained per calibration schedule.
- Verify packaging integrity and correct packing configurations for outbound shipments, including pallet stability, strapping, labeling, hazardous material placarding, and customer-specific packaging instructions.
- Operate barcode scanners and warehouse management systems (WMS/SAP/Oracle/NetSuite) to trace inventory, update inspection status, and support cycle counts and inventory reconciliation.
- Create and maintain accurate non-conformance reports (NCRs), discrepancy reports, and hold notices; initiate containment actions and route affected stock to designated quarantine or disposition areas.
- Lead root cause analysis for recurring quality issues using RCA tools (5 Whys, Fishbone, 8D) and collaborate with operations, maintenance and suppliers to define corrective and preventive actions (CAPA).
- Monitor and report on warehouse quality KPIs such as defect rate, damage-in-transit, inbound rejection rate, percent inspected, and on-time disposition; prepare weekly and monthly quality summaries for management.
- Support supplier quality activities including receiving supplier lot evaluations, documenting supplier-related defects, coordinating returns and supplier corrective action requests (SCAR).
- Ensure compliance with regulatory and industry standards relevant to the product and site (ISO 9001, GMP, FDA, OSHA, IATA/IMDG for hazardous shipments), and participate in internal and external audits as required.
- Enforce FIFO/LIFO/FEFO inventory rotation and expiration date controls; verify shelf life and storage condition requirements for temperature-sensitive and controlled items.
- Perform root-cause-driven disposition of damaged, expired or suspect materials, issuing dispositions to return to vendor, rework, recycle, or destruction, and maintain accurate disposition records.
- Train and coach warehouse staff on quality procedures, inspection checkpoints, proper handling, labeling, and documentation requirements to reduce damage and non-conformances.
- Coordinate lot segregation, traceability and recall preparedness by maintaining lot histories, trace logs and master records enabling rapid recall response when necessary.
- Conduct periodic environmental and housekeeping inspections of storage areas to ensure compliance with contamination control, pest control and cleanliness standards that affect product quality.
- Collaborate with Shipping to pre-inspect outbound orders for accuracy, complete documentation and compliance with customer specifications and carrier requirements (weight checks, pallet documentation).
- Implement and support continuous improvement projects aimed at reducing damage, improving inspection throughput, and increasing first-pass yield using Lean or Six Sigma concepts.
- Maintain and update standard operating procedures (SOPs), inspection criteria, sampling plans and acceptance quality limits (AQL) as product lines and customer requirements evolve.
- Facilitate and document internal investigations of customer complaints involving warehouse handling or packaging, provide evidence and root-cause analysis and support corrective actions.
- Manage quality records, inspection reports and certificates of analysis (COAs) in both electronic and hard-copy formats ensuring records are complete, legible, and retained per policy.
- Assist in the set-up and validation of new packaging and racking configurations, including pilot runs, pre-shipment inspections and dimensional verification to reduce damages and optimize storage density.
- Support cross-functional projects with Procurement, Operations and Engineering to assess supplier performance, incoming inspection criteria and opportunities for vendor managed inventory (VMI) or quality-by-design initiatives.
- Respond to urgent quality issues during receiving and shipping windows, providing rapid containment decisions that minimize disruption to distribution schedules.
Secondary Functions
- Support periodic internal and external audits by preparing documentation, guiding auditors on warehouse quality practices, and implementing corrective actions from audit findings.
- Participate in root-cause investigations and continuous improvement workshops to reduce defects, streamline inspection workflows, and optimize sampling plans to balance risk and throughput.
- Assist inventory control with cycle counts and stock reconciliations by validating item conditions and exception reporting for damaged or missing inventory.
- Provide on-the-floor coaching for warehouse staff on proper handling, labeling, and packing techniques to reduce transit damage and customer returns.
- Help maintain and update training materials, inspection checklists, and SOPs; deliver periodic refresher training to warehouse personnel on quality requirements and regulatory compliance.
- Support supplier return and warranty coordination, arranging quarantines, preparing return shipments, and documenting supplier performance for escalation.
- Aid in the development and maintenance of electronic documentation systems (quality databases, WMS quality modules) to ensure accurate, searchable inspection history and audit trails.
- Track, trend and escalate quality issues to leadership, recommending process changes and risk mitigation strategies to protect customer satisfaction and regulatory compliance.
- Collaborate with Safety/EHS to ensure quality procedures do not introduce safety risks and that quality areas meet facility safety standards.

Required Skills & Competencies
