Core Responsibilities
Primary Functions
- Receive and verify incoming shipments by comparing bills of lading (BOLs), packing lists, advance ship notices (ASNs), and purchase orders (POs); document and escalate all discrepancies (shorts, overages, damages) to purchasing and receiving management.
- Inspect incoming product for damage, defects, correct count, correct labeling, and expiration/lot codes; quarantine non-conforming product and coordinate returns or vendor claims per company procedures.
- Accurately enter receiving transactions into the Warehouse Management System (WMS) or ERP (e.g., SAP, Oracle, Manhattan) using RF scanners and mobile devices; ensure proper item/location assignments and lot/serial tracking where required.
- Stage and transfer received goods to designated putaway locations, applying slotting rules, weight/load restrictions, and FIFO/LIFO rotation policies to maintain optimal inventory flow.
- Operate material handling equipment safely and efficiently — including forklifts, pallet jacks, hand trucks, and order pickers — to unload trailers, move pallets, and place product into storage or staging areas (forklift certification required where applicable).
- Unload inbound trailers and containers using safe dock procedures; coordinate with carriers and yard personnel to optimize dock utilization and minimize dwell time.
- Label, tag, and barcode incoming product and pallets per company labeling standards and GS1/barcode requirements; prepare return material authorizations (RMAs) and disposition labels when necessary.
- Perform initial quality checks such as weight verification, dimensional checks, and rudimentary functional tests when receiving electronic or mechanical components.
- Reconcile physical receipts to scheduled receipts and update system records (expected vs. actual) to keep purchasing and supply chain stakeholders informed and to enable accurate inventory forecasting.
- Conduct cycle counts, daily/weekly receiving area inventory checks, and ad-hoc audits to support inventory accuracy goals; assist in root cause analysis for discrepancies and implement corrective actions.
- Prepare and file receiving documentation, paper trail, and electronic records for audits, vendor chargebacks, and regulatory compliance (e.g., hazardous materials manifests where applicable).
- Coordinate with the Purchasing team to resolve missing items, credit memos, and vendor quality issues; initiate claims or vendor return processes as needed.
- Maintain a clean, safe, and organized receiving dock and staging area; enforce PPE use, safe stacking practices, and OSHA-compliant aisle and egress requirements.
- Execute cross-dock operations, fast-move replenishment, and direct-to-line deliveries for production support, minimizing double handling and reducing lead times.
- Assist with load planning and pallet configuration for internal moves or returns to vendors to maximize space utilization and reduce damage during handling.
- Monitor and report receiving performance metrics including dock-to-stock time, receiving accuracy percentage, and throughput per shift, participating in continuous improvement and Kaizen events to improve metrics.
- Train, mentor, and cross-train new hires or teammates on receiving procedures, WMS transactions, scanning protocols, and equipment operation to ensure consistent process execution.
- Follow hazardous materials (HAZMAT) receiving protocol when applicable, including proper documentation, segregation, storage, and communication with safety teams.
- Handle return merchandise authorizations (RMAs), customer returns, and vendor returns by inspecting returned goods, determining disposition, and processing returns in the system.
- Use basic measurement tools (scales, calipers, tape) to verify received quantities and product dimensions when required; escalate measurement variance beyond acceptance thresholds.
- Support shipment reconciliation including pallet configuration checks, shrink-wrap integrity checks, and container seal verification during receiving.
- Maintain and troubleshoot RF/mobile computing devices and report IT/WMS issues to support for timely resolution to avoid receiving delays.
- Participate in seasonal peak operations, overtime receiving shifts, or special projects (inventory resets, warehouse expansions) to meet business needs.
- Enforce and contribute to workplace safety and continuous improvement initiatives by identifying hazards, suggesting process improvements, and participating in toolbox talks and safety training.
Secondary Functions
- Assist inventory control and operations teams with cycle counts, variance investigations, and inventory reconciliation projects.
