Core Responsibilities
Primary Functions
- Create and maintain daily and weekly pick/pack/ship schedules, delivery windows, and carrier appointment calendars to meet service level agreements and reduce detention or demurrage.
- Use the Warehouse Management System (WMS) and Transport Management System (TMS) to plan load builds, allocate pallet positions, and sequence shipments for efficient dock utilization.
- Coordinate inbound appointment scheduling with suppliers, 3PLs, and the receiving team to balance dock labor availability and minimize gate congestion.
- Generate, verify, and distribute shipping documentation including bills of lading, packing lists, manifests, and Advanced Shipping Notices (ASNs) to carriers and internal stakeholders.
- Monitor shipment status and carrier communications in real time; escalate delays, damages, or exceptions to the operations manager and customer service for timely resolution.
- Maintain accurate order and shipment records in ERP/WMS (e.g., SAP, Blue Yonder/Manhattan, Oracle) and update order status, track numbers, and trailer assignments.
- Plan and adjust labor waves and pick schedules in collaboration with Workforce Management (WFM) to meet throughput goals and manage overtime spend.
- Execute load optimization and pallet consolidation strategies to maximize trailer utilization while complying with weight, cube, and routing constraints.
- Run daily KPI and operational reports (on-time shipments, dock utilization, dwell time, LATE shipments) and deliver insights to operations and leadership.
- Work with carriers and freight brokers to secure capacity, negotiate appointment windows, and arrange expedited or partial shipments as needed.
- Administer yard management tasks including trailer assignments, staging, and cross-dock sequencing to reduce trailer dwell and improve turnaround times.
- Manage exception workflows for late orders, short-picks, backorders, and returns; coordinate immediate corrective actions and document root causes.
- Validate ASN and EDI transmissions for inbound receipts and outbound shipments, troubleshoot failed transmissions, and follow up on missing or mismatched data.
- Conduct pre-load inspections of documentation and system holds to ensure compliance with customer routing guides, packaging, and labeling requirements.
- Assist with carrier performance tracking, scoring, and reporting to support procurement and transportation teams in carrier selection and negotiation.
- Apply FIFO/LIFO and product rotation rules in scheduling to reduce obsolescence, expired inventory, and spoilage for perishable or rotation-sensitive SKU lines.
- Partner with procurement and demand planning teams to prioritize rush or expedited orders and adjust schedules when forecast or sales changes occur.
- Participate in daily operations stand-ups and dispatch meetings to communicate constraints, forecasted peaks, and schedule changes.
- Review and maintain standard operating procedures (SOPs) for scheduling, appointment setting, and system updates; recommend process improvements.
- Support continuous improvement initiatives targeted at reducing ship windows, improving load quality, and increasing dock throughput.
- Audit shipment records and perform periodic cycle checks to reconcile physical inventory vs. WMS quantities that impact scheduling accuracy.
- Process and track return-to-vendor (RTV) and repair shipments, coordinating with quality control and vendor contacts to schedule outbound movement.
- Coordinate cross-dock and flow-through operations, ensuring timely transfer between inbound and outbound lanes to meet same-day shipments.
- Ensure compliance with safety, hazmat, and regulatory requirements when scheduling shipments that contain controlled, hazardous, or temperature-sensitive goods.
- Provide back-up support for dispatch and transportation scheduling during peak periods, including weekend or evening coordination when required.
Secondary Functions
- Prepare and distribute ad-hoc operational reports, root-cause analyses, and capacity forecasts using Excel, Power BI, or reporting tools.
- Support ad-hoc data requests and exploratory data analysis to highlight scheduling bottlenecks and recommend corrective actions.
- Contribute to the organization's data strategy by documenting scheduling requirements, data fields, and WMS/TMS workflows.

Required Skills & Competencies
Hard Skills (Technical)
- Proficient use of Warehouse Management Systems (WMS) such as Blue Yonder (JDA), Manhattan, Oracle WMS, or SAP EWM for scheduling and order management.
- Familiarity with Transport Management Systems (TMS) and load planning tools for carrier appointment scheduling and route planning.
- Strong Microsoft Excel skills including pivot tables, VLOOKUP/XLOOKUP, INDEX/MATCH, conditional formatting, and basic macros; experience with Power Query and Power Pivot a plus.
- Experience with EDI transactions (860/850/856/214) and troubleshooting ASN/EDI failures.

- Familiarity with carrier relationships and freight procurement processes including freight rate structures and detention/demurrage.
