Core Responsibilities
Primary Functions
- Supervise and coordinate daily warehouse operations including receiving, put-away, picking, packing, staging, and shipping to meet customer service levels, on-time delivery targets, and throughput goals.
- Lead, coach, schedule, and evaluate a team of warehouse associates, forklift operators and temporary staff; conduct daily briefings, assign tasks, monitor productivity and provide real-time feedback to drive performance.
- Oversee inbound receiving processes: verify shipment accuracy against purchase orders, inspect for damages, record discrepancies, perform root-cause documentation and initiate claims where required.
- Manage order fulfillment processes to ensure accuracy of pick/pack operations, reduce order errors, and maintain target lead times; implement best practices such as pick-to-light, zone picking or batch picking where applicable.
- Maintain strict inventory control through regular cycle counts, reconciliation of variances, research and resolution of discrepancies, and management of adjustments in the Warehouse Management System (WMS).
- Operate and enforce safety and compliance programs, ensuring all team members follow OSHA, DOT, and company-specific safety protocols; conduct toolbox talks, incident investigations and corrective action follow-up.
- Supervise and authorize use of material handling equipment (forklifts, pallet jacks, reach trucks); ensure operators are certified, equipment is inspected daily and maintenance schedules are followed.
- Monitor, analyze and report key performance indicators (KPIs) such as on-time shipments, inventory accuracy, labor productivity, order accuracy, dock-to-stock cycle time and cost per case; use data to implement improvements.
- Maintain accurate documentation for shipping including bills of lading (BOLs), packing lists, carrier paperwork and hazardous materials documentation when applicable.
- Implement and maintain standard operating procedures (SOPs) for all warehouse activities; ensure operational consistency and continuous process improvement through documentation and training.
- Coordinate with procurement, production, quality control and customer service to prioritize urgent orders, manage backorders and ensure alignment on delivery commitments.
- Plan and manage receiving and shipping schedules, carrier appointments and dock assignments to optimize throughput and minimize dwell time and detention charges.
- Manage returns processing and reverse logistics activities: inspect returned goods, disposition decisions, allocation for restock, credit processing and refurbishment workflows.
- Lead projects for capacity planning, layout optimization, cross-docking implementation, racking installs, seasonal ramp-ups and other initiatives to increase space utilization and throughput.
- Ensure proper storage and handling of temperature-controlled, hazardous or fragile goods; follow product-specific handling requirements, segregation rules and traceability for lot/serial-controlled items.
- Enforce quality control checks at critical control points: incoming inspection, in-process checks and final shipping inspections to reduce defects and customer returns.
- Control and monitor warehouse labor costs by forecasting demand, optimizing shift coverage, implementing overtime controls and recommending staffing changes based on seasonality and volume trends.
- Execute cycle count programs and periodic inventory audits; prepare variance analysis, implement corrective actions and communicate findings to senior leadership.
- Oversee vendor and carrier relationships at the dock, resolving scheduling conflicts, delivery discrepancies and coordinating special handling needs.
- Drive continuous improvement initiatives (Lean, 5S, Kaizen) to reduce waste, shorten lead times, improve ergonomics and increase overall warehouse efficiency.
- Administer employee onboarding, training programs and certification tracking (forklift, HAZMAT, PPE) to maintain a competent and compliant workforce.
- Manage warehouse security, loss prevention and shrink-control programs including surveillance, access control, root-cause analysis and corrective actions.
- Ensure compliance with customs, export/import documentation and regulatory requirements for cross-border shipments when applicable.
- Participate in budget planning for warehouse operations, recommend capital expenditures for equipment and systems, and monitor expense vs budget.
- Act as the point of escalation for operational issues, customer delivery exceptions, and critical incident response including coordinating remediation and communication plans.
Secondary Functions
- Support continuous improvement and digital transformation projects such as WMS upgrades, handheld scanner rollouts, and automation pilots; serve as subject matter expert for warehouse processes.
- Assist supply chain planners with inventory replenishment models and safety stock recommendations based on warehouse performance and lead times.
- Prepare and present weekly/monthly operational performance reports to regional operations and senior leadership, highlighting trends, risks and action plans.
- Lead seasonal hiring campaigns, temp agency coordination and workforce planning to meet peak demand while controlling labor spend.
- Coordinate preventive maintenance and repair schedules with facilities and equipment vendors to reduce downtime and maintain OSHA compliance.
- Facilitate cross-functional workshops with procurement, transportation, and customer service to align on SLAs, returns policy and special handling requirements.
- Manage small procurement activities for warehouse supplies and PPE; evaluate vendor performance and recommend sourcing improvements.
- Support audit readiness for third-party inspections and customer audits; provide required documentation, host walk-throughs and implement audit corrective actions.
- Maintain clean, organized and 5S-compliant warehouse environment; lead regular walk-throughs and associate engagement in housekeeping initiatives.
- Mentor and develop high-potential associates for future leadership roles through structured training, career mapping and hands-on development plans.
Required Skills & Competencies
Hard Skills (Technical)
- Warehouse Management Systems (WMS) expertise (e.g., Manhattan, SAP EWM, Oracle WMS, JDA) — configuration, user management and transaction troubleshooting.
