Core Responsibilities

Primary Functions

  • Lead the design, development, and rollout of enterprise Microsoft Word templates and boilerplates that enforce branding, accessibility, and corporate style guidelines across multiple business units.
  • Develop, test, and maintain Word automation solutions (VBA macros, Office Scripts, add-ins) to reduce repetitive manual tasks, improve accuracy, and accelerate document production cycles.
  • Conduct needs assessments with project stakeholders to map current document workflows, identify automation opportunities, and produce prioritized roadmaps for template and macro development.
  • Create and maintain a centralized library of Word templates, content controls, Quick Parts, styles, and reusable building blocks with version control and clear usage documentation.
  • Partner with IT and SharePoint/OneDrive teams to ensure Word templates are deployed via managed add-ins, templates libraries, or Group Policy and to configure template update mechanisms.
  • Deliver role-based instructor-led and virtual training sessions, workshops, and recorded microlearning focused on Word best practices, template usage, content controls, and macro-safe behaviors.
  • Draft and maintain governance policies and standards for Word documents including naming conventions, metadata usage, versioning, retention, and compliance controls.
  • Troubleshoot complex Word issues reported by users (formatting corruption, style overrides, linked content problems) and provide rapid remediation, root cause analysis, and training to prevent recurrence.
  • Author clear, searchable user guides, quick reference cards, and step-by-step procedures for common Word tasks and custom features to support adoption and reduce helpdesk volume.
  • Implement document accessibility best practices within Word templates (heading structures, alt text for images, table semantics) to meet internal accessibility standards and legal requirements.
  • Conduct pilot programs for new Word features or automation tools, collect feedback, iterate on template design, and measure outcomes against adoption and efficiency KPIs.
  • Collaborate with legal, compliance, and records management teams to embed approval workflows and metadata capture into Word documents for auditability and regulatory adherence.
  • Configure and maintain merge/compose solutions that integrate Word templates with data sources (Excel, SQL, CRM) to produce personalized documents at scale while preserving template integrity.
  • Serve as the escalation point for complex formatting, cross-platform compatibility (Windows/Mac), and multi-lingual template issues, coordinating with vendors or development teams as needed.
  • Evaluate third-party Word productivity tools and add-ins, run proof-of-concept tests, and recommend solutions that align with enterprise security, licensing, and support policies.
  • Measure and report program impact using metrics such as template adoption rate, time saved per document, reduction in formatting-related support tickets, and user satisfaction scores.
  • Create technical specifications and user acceptance test (UAT) plans for template and macro changes, and coordinate cross-functional testing prior to production releases.
  • Maintain secure development practices for macros and scripts, including digital signing, code review, and documentation to meet organizational security standards.
  • Drive continuous improvement through regular stakeholder reviews, feedback sessions, and a documented backlog of template and feature enhancements.
  • Provide on-the-job coaching and mentoring for internal champions and super-users to build local capability and decentralize first-line support.
  • Assist project teams during major change initiatives (M&A, rebranding, policy changes) to rapidly align Word assets to new requirements and ensure consistent delivery.
  • Create migration plans to consolidate and standardize legacy templates from disparate systems into a single managed template framework.
  • Offer expert guidance on cross-application integration points, such as embedding Word templates in Power Automate flows, SharePoint content types, and CRM document generation modules.
  • Maintain knowledge of Microsoft 365 roadmap changes impacting Word (e.g., new cloud features, co-authoring behaviors) and translate impacts into program updates and user guidance.

Required Skills & Competencies

Education & Experience

Educational Background

Minimum Education:

  • Bachelor's degree in Information Technology, Instructional Design, Technical Communication, Business, or related field OR equivalent professional experience in document automation and desktop applications.

Preferred Education:

  • Bachelor’s degree plus certifications such as Microsoft Office Specialist (MOS), Microsoft 365 Certified: Fundamentals, or relevant training certifications in instructional design or process improvement.
