Core Responsibilities
Primary Functions
- Lead end-to-end process discovery workshops with cross-functional stakeholders to map current-state workflows, identify pain points, quantify operational metrics and define target-state designs that align with business objectives.
- Create and maintain standardized process documentation (SOPs, process maps, RACI charts, decision trees) using BPMN and other visual notations to ensure repeatability, auditability and scalability.
- Design workflow architectures that integrate manual, semi-automated and fully automated activities; recommend the right level of automation based on ROI, risk and complexity.
- Build, configure and deploy workflow automations using RPA and low-code/ no-code platforms (e.g., UiPath, Automation Anywhere, Power Automate, Nintex) in collaboration with engineering teams.
- Translate business requirements into detailed functional and technical specifications (user stories, acceptance criteria, API contracts) for development and integration teams.
- Develop and execute test plans, UAT scripts and regression tests for workflow changes; coordinate and lead cross-functional testing cycles and manage issue resolution.
- Implement monitoring, alerting and dashboarding for workflow performance using BI tools (Power BI, Tableau) and operational metrics (throughput, cycle time, error rate, SLA adherence).
- Conduct process simulations and time-motion analysis to validate projected efficiency gains and to optimize resource allocation and queue management.
- Lead the implementation of workflow governance: change control, versioning, exception handling procedures and escalation paths to ensure process integrity and compliance.
- Partner with IT and security teams to design secure integrations (REST APIs, webhooks, SSO, OAuth) and ensure data handling practices meet privacy and compliance requirements.
- Identify and quantify automation opportunities by performing cost-benefit analyses, prioritizing backlog items and building business cases for investment and resource allocation.
- Develop and deliver training materials, playbooks and hands-on training sessions to enable end-users and first-line support teams on new workflows and automation capabilities.
- Serve as the single point of contact for production workflow incidents and post-implementation reviews; lead root cause analysis and corrective action planning to prevent recurrence.
- Maintain a backlog of workflow improvements and enhancements; manage prioritization, sprint planning and release coordination with Agile teams.
- Conduct vendor evaluations, proof of concepts (POCs) and pilot programs for workflow and automation technologies; provide recommendations based on scalability, total cost of ownership and integration fit.
- Facilitate continuous improvement initiatives (Kaizen events, value stream mapping) to eliminate waste, reduce handoffs and improve customer experience.
- Configure and maintain workflow orchestration tools and business rules engines, ensuring business logic is modular, testable and version-controlled.
- Define and maintain SLA/KPI frameworks and operational scorecards; run periodic performance reviews and drive corrective actions with process owners.
- Manage exceptions, escalations and complex case routing rules; design intelligent routing strategies to optimize workload distribution across teams and systems.
- Coach and mentor junior analysts and process owners on workflow best practices, process documentation standards and change management techniques.
- Collaborate with procurement and vendor management to maintain licensing, support contracts and managed services agreements for workflow and automation platforms.
- Stay current on industry trends and emerging technologies (AI/ML for process augmentation, document intelligence, intelligent OCR) and assess applicability for process enhancement.

Education & Experience
Educational Background
Minimum Education:
- Bachelor's degree in Business Administration, Information Systems, Industrial Engineering, Computer Science, Operations Management or related field. Equivalent practical experience accepted.
Preferred Education:
- Bachelor's plus relevant certifications (Lean Six Sigma Green Belt, PMP, CBPA, UiPath/RPA certifications) or a Masterβs degree in a related discipline.
