Core Responsibilities

Primary Functions

  • Design individualized, periodized workout programs for clients based on comprehensive intake assessments, fitness goals, medical history, movement screening, and performance testing; continually adjust programs using objective metrics and client feedback to optimize progress and prevent injury.
  • Conduct thorough initial consultations and fitness assessments (posture, movement screens, strength and mobility tests), document findings in the client's profile, and translate assessment results into targeted exercise prescriptions and corrective strategies.
  • Deliver one-on-one personal training sessions and small group training classes with engaging coaching cues, safe exercise progressions, and demonstrations to ensure correct form, effective intensity, and consistent performance improvements.
  • Create scalable and progressive training plans for weight loss, hypertrophy, strength gains, sport-specific performance, endurance, and rehabilitation-supportive conditioning, leveraging periodization principles and evidence-based methodologies.
  • Monitor client biometric and performance data (body composition, 1RM estimates, rep ranges, pace, RPE), maintain progress notes, adjust workloads, and use analytics to communicate clear milestones and celebrate client achievements.
  • Teach and reinforce proper exercise technique and movement patterns, provide hands-on corrections, regressions, and progressions, and implement mobility and recovery protocols to reduce injury risk and enhance long-term function.
  • Lead high-energy group fitness classes and bootcamps, manage class pacing, modify exercises for diverse fitness levels, and maintain class attendance, safety, and participant engagement to drive retention and studio revenue.
  • Provide concise, practical nutrition guidance consistent with scope of practice (macro/micro considerations, meal timing, behavior change strategies) and coordinate referrals to registered dietitians for specialized nutritional needs.
  • Develop and deliver client education content (workout plans, exercise libraries, instructional videos, newsletters) that empowers clients to train independently and increases program adherence between sessions.
  • Maintain a predictable schedule, handle client bookings and rescheduling professionally, and manage client communications via phone, text, and app platforms to ensure exceptional customer service and high retention rates.
  • Collaborate with physical therapists, chiropractors, and medical providers when clients present with injuries or special medical conditions; integrate rehabilitation-based exercises under professional guidance and refer when appropriate.
  • Drive new client acquisition through trial sessions, conversion consultations, social media content, community outreach, and on-site events while accurately tracking lead sources and conversion metrics.
  • Manage client billing, session tracking, package renewals, and membership conversions with attention to accuracy and timely follow-up to minimize churn and maximize lifetime value.
  • Implement and monitor client safety protocols including emergency procedures, equipment checks, sanitation standards, and enforce facility rules to maintain a safe training environment.
  • Customize home-based or hybrid training programs for remote clients using digital coaching platforms, deliver remote check-ins, and provide recorded or live virtual coaching to scale services and accommodate client preferences.
  • Lead progressive warm-up, activation, and cooldown routines tailored to session goals, incorporate energy-system training when needed, and instruct clients in self-management strategies (foam rolling, mobility drills, sleep and stress-management basics).
  • Conduct regular performance reviews with clients, set quarterly and monthly goals, analyze barriers to progress, reframe goals as necessary, and maintain client motivation through intrinsic and extrinsic reinforcement techniques.
  • Train and mentor junior coaches and interns by sharing programming templates, coaching philosophies, and safety standards; provide feedback and assist with professional development to ensure a consistent client experience.
  • Maintain professional certification standards (CPR/AED, NASM, ACE, ISSA, CSCS where applicable), participate in continuing education, and apply new research and industry best practices to improve client outcomes and program offerings.
  • Oversee fitness equipment care and inventory, recommend purchases based on programming needs, and work with management to optimize facility layout for safety and flow during sessions.
  • Track KPIs such as client retention, attendance, conversion rate, average session sales, and program compliance; prepare reports and recommendations to leadership to improve service delivery and profitability.

Secondary Functions

  • Support marketing efforts by producing SEO-friendly blog posts, social media content, client testimonials, and instructional videos highlighting workout results and thought leadership in fitness and wellness.
  • Assist with onboarding new members, giving facility tours, explaining membership options, and demonstrating how to use equipment safely to create positive first impressions and convert prospects.
  • Participate in community outreach events, corporate wellness programs, and partnerships that increase brand visibility and generate qualified leads for personal training and group classes.
  • Provide input into class schedules, pricing packages, and promotional offers based on client demand trends and competitor analysis to maximize utilization and revenue.
  • Coach clients in long-term lifestyle changes, including sleep hygiene, stress management, and basic healthy eating habits, while maintaining appropriate scope of practice and referring specialized cases.
  • Help maintain a clean, organized, and welcoming training environment by enforcing housekeeping standards, sanitizing equipment, and ensuring all spaces meet health and safety guidelines.
  • Contribute to the development of standard operating procedures for client onboarding, assessments, cancellation policies, and emergency action to streamline operations and improve client experience.

Education & Experience

Educational Background

Minimum Education:

  • High school diploma or equivalent; current nationally recognized personal training certification (e.g., NASM, ACE, ISSA, ACSM).

  • Associate's or Bachelor's degree in Exercise Science, Kinesiology, Sports Science, Human Performance, or related field.
  • Advanced certifications (CSCS, Corrective Exercise Specialist, Performance Nutrition Specialist) considered a strong plus.

Experience Requirements

  • 3+ years of experience in a commercial gym, boutique studio, or performance center; proven track record of improving client outcomes and retention, experience managing class schedules and contributing to revenue growth.
