Core Responsibilities
Primary Functions
- Assist certified personal trainers and strength coaches by preparing, setting up, and supervising exercise stations and equipment for individual and group training sessions to ensure client safety and efficient session flow.

- Create and deliver customized warm-ups, cool-downs, and mobility sequences that align with program goals and trainer directives to improve client readiness and recovery.
- Assist in designing and updating individualized workout plans and exercise libraries using evidence-based exercise selection, intensity progression, and periodic reassessment schedules in collaboration with senior staff.
- Provide individualized basic nutritional guidance that aligns with trainer-approved recommendations, track client nutrition logs when requested, and refer to registered dietitians for medical or advanced nutrition needs.
- Lead supervised small-group classes and circuit sessions, manage class pacing and transitions, and maintain high energy and motivation to support member retention and engagement.
- Communicate proactively with clients to explain program objectives, set realistic short- and long-term fitness goals, and deliver progress updates that align with measurable KPIs (e.g., strength gains, endurance improvements, body composition changes).
- Observe and report any signs of injury, overtraining, or contraindications; administer first aid as trained and promptly notify supervising trainers and management for additional assessment and follow-up.
- Support onboarding of new clients by providing facility tours, explaining safety procedures and equipment usage, and supplying login/help for scheduling and app-based training platforms.
- Maintain up-to-date client program notes, workout modifications, and progress photos/videos in secure records, ensuring client confidentiality and data protection consistent with company policy.
- Assist with periodic program audits and quality assurance checks by comparing training notes, outcomes, and client feedback to ensure program fidelity and continuous improvement.
- Coordinate equipment maintenance, inventory and sanitation routines, escalate equipment repair needs, and ensure training spaces remain safe, organized, and professionally presented.
- Participate in weekly case reviews with trainers and management to discuss client barriers, retention strategies, referral opportunities, and program refinement based on data and client feedback.
- Support sales and retention initiatives by following up on trial clients, promoting package upgrades, scheduling trial workouts for prospective members, and contributing to outreach campaigns that increase conversion rates.
- Help design and execute fitness challenges, workshops, and educational seminars (e.g., mobility workshops, strength clinics) to drive community engagement and provide value-added services to members.
- Collect and synthesize client feedback via surveys and informal conversations, summarize trends to coaching staff, and recommend program adjustments to improve satisfaction and outcomes.
- Create short-form content (e.g., exercise tutorials, technique tips, program highlights) for social media and in-app messaging in coordination with marketing to attract new clients and support member retention.
- Track and report key program metrics such as client adherence, session utilization, churn/retention rates, and basic performance improvements to help management measure program ROI and staffing needs.
- Train and mentor new Workout Program Assistants or interns on standard operating procedures, safety policies, CRM usage, and customer service best practices to maintain a reliable and consistent client experience.
- Support remote coaching initiatives by monitoring client-submitted workouts, providing timely feedback through fitness platforms, and escalating issues to remote trainers when necessary.
