Core Responsibilities
Primary Functions
- Lead end-to-end workplace programs (office moves, site consolidations, flexible/hybrid work pilots, touchdown and hoteling rollouts) by developing detailed project plans, timelines, budgets, and success metrics to ensure on-time, on-budget delivery.
- Design and execute workplace strategy initiatives that align with business objectives—optimizing space utilization, reducing real estate spend, improving collaboration patterns, and enabling hybrid work models through policy and technology changes.
- Serve as the single point of contact for stakeholders across HR, real estate, IT, EHS, and business units; proactively manage expectations, provide regular status updates, and escalate risks with mitigation plans.
- Conduct stakeholder interviews, needs assessments, and workplace observations to translate qualitative and quantitative inputs into requirements, standards, and program design decisions.
- Build and maintain robust governance for programs: define roles & responsibilities, approval workflows, change control processes, and KPIs to sustain program integrity at scale.
- Manage vendor selection, contracting, and vendor performance for workplace services (furniture suppliers, move management vendors, ergonomic assessment providers, workplace technology partners), including SLAs and invoicing oversight.
- Develop and deliver training, communications, and change management plans that drive adoption of new workplace policies, tools, and ways of working—using roadshows, playbooks, FAQs, and manager toolkits.
- Lead ergonomics and well-being programming—coordinating workstation assessments, adjustable furniture deployments, wellness campaigns, and preventative education to reduce injury risk and support employee health.
- Analyze space utilization, occupancy trends, and workplace analytics (badge data, sensor data, desk booking metrics) to recommend right-sizing, desk ratios, and optimization strategies tied to business growth.
- Create business cases and ROI models for workplace investments, synthesizing cost-benefit analysis, scenario planning, and lifecycle cost estimates for leadership decision-making.
- Partner with IT to define and deploy workplace technologies (desk booking systems, room scheduling, collaboration tools, digital signage) and ensure seamless integrations with HRIS and facilities systems.
- Define and operationalize consistent workplace standards, design guidelines, and workplace playbooks to ensure a cohesive employee experience across locations while respecting local compliance and cultural needs.
- Coordinate large-scale moves and decommissions: orchestrate packing, asset tagging, transportation logistics, and post-move validation while minimizing business disruption and supporting employee transition.
- Develop and maintain dashboards and regular reports on program performance, workplace utilization, satisfaction scores, and cost metrics; present insights and recommendations to senior leadership.
- Facilitate cross-functional workshops and design sprints to prototype workplace solutions, surface creative ideas, and accelerate consensus around complex program decisions.
- Oversee budgeting, forecasting, and monthly financial reconciliations for workplace initiatives; track capital vs. operating spend and deliver periodic variance explanations.
- Implement risk management practices for workplace projects—conducting health & safety audits, compliance checks, permitting coordination, and emergency planning when required.
- Champion sustainability and ESG objectives within workplace planning by recommending energy-efficient designs, waste reduction strategies, and sustainable procurement practices for furniture and materials.
- Execute employee engagement surveys and post-implementation feedback loops to evaluate program impact, iterate on solutions, and elevate the employee experience.
- Maintain and improve vendor and supplier ecosystems—negotiating volume pricing, consolidating services where appropriate, and ensuring continuity of service across regions.
- Support localized workplace adaptations for global programs, advising regional teams on cultural, legal, and logistical considerations while preserving core program objectives.
- Drive continuous improvement by collecting program learnings, documenting best practices, and creating repeatable templates and playbooks to scale future implementations.
