Core Responsibilities

Primary Functions

  • Lead the end-to-end workplace program strategy and roadmap, translating executive goals for hybrid work, cost optimization, and employee experience into prioritized initiatives, timelines, and measurable outcomes.
  • Own multi-site and/or global workplace program delivery including space consolidation, office redesigns, move/merge/acquisition integration, campus modernizations, and workplace-as-a-service implementation.
  • Design and implement hybrid work policies, desk hoteling strategies, and flexible occupancy models in collaboration with HR, Legal, and business leadership to drive productivity and retention while managing real estate costs.
  • Develop and manage program budgets (CapEx and OpEx), financial forecasts, business cases and ROI analysis for workplace investments; track and report budget variances and program financials to senior leadership.
  • Establish governance and program controls: program charters, change control, risk registers, decision matrices, KPIs/OKRs, and steering committees to ensure consistent, auditable delivery.
  • Build and lead cross-functional project teams and third-party vendors (architects, designers, contractors, IWMS/space-scheduling vendors) to deliver programs on time, on scope and on budget.
  • Create and maintain workplace performance dashboards and analytics (occupancy, utilization, cost per seat, satisfaction, service levels) to inform portfolio decisions and continuous improvement.
  • Direct vendor selection, contract negotiation, SLA development and vendor performance management for facilities, workplace experience platforms, office services, cleaning, security, and construction partners.
  • Partner with Real Estate and Finance to execute portfolio optimization strategies: lease renewals, consolidations, subleases, relocations and disposal strategies aligned to long-term workplace needs.
  • Oversee workplace operations and service delivery standards, ensuring consistent employee experience across locations (reception, mailrooms, meeting room enablement, food & beverage, event support).
  • Set workplace experience strategy to drive employee engagement and adoption (program communications, manager toolkits, workplace ambassadors, training and onboarding for new workplace tools).
  • Lead large-scale workplace change management and adoption programs using formal frameworks (e.g., ADKAR, Prosci), including stakeholder mapping, communications plans, training, and success measurement.
  • Collaborate with IT to implement workplace technologies (room-booking, sensor-based analytics, collaboration tools, digital signage, desk hoteling software) and ensure security/compliance integration.
  • Manage safety, compliance and business continuity aspects of workplace programs including emergency preparedness, ADA, local building codes, environmental health and safety standards.
  • Conduct detailed space planning and workplace design reviews in partnership with architects and workplace designers to ensure functional, inclusive, and brand-aligned environments.
  • Drive sustainability and ESG initiatives within workplace programs: energy efficiency projects, waste reduction, sustainable materials, and certifications (LEED, WELL) where applicable.
