Core Responsibilities
Primary Functions
- Lead the full lifecycle of workplace programs (design, pilot, scale, sustain) that improve employee experience, increase utilization of space and resources, and align with company culture and strategic objectives.
- Supervise, coach and develop a small team of workplace coordinators and program specialists; set clear performance expectations, conduct regular performance reviews, and create development plans to build team capability.
- Develop and manage program budgets, forecast spend, track actuals versus plan, and make data-driven recommendations to optimize cost efficiency while maintaining service levels.
- Define program KPIs (utilization, satisfaction, incident rates, cost per employee, time-to-resolution) and deliver regular dashboards, executive summaries and deep-dive analyses to HR, Facilities, and leadership.
- Plan and execute workplace onboarding and offboarding processes (desk assignment, asset provisioning, orientation briefings) in partnership with HR and IT to ensure seamless employee transitions.
- Oversee vendor selection, contracting, SLAs and performance management for workplace services (catering, front desk, cleaning, maintenance, security, concierge), ensuring quality, compliance and cost control.
- Coordinate cross-functional change management for workplace initiatives (hybrid work policies, space reconfigurations, office openings/closings), develop communications, training and stakeholder engagement plans.
- Manage day-to-day facility operations escalations and incident response for workplace issues (HVAC, building systems, cleaning, security), ensuring timely resolution and strong vendor collaboration.
- Execute workplace health, safety and emergency preparedness programs, including evacuation planning, drills, incident reporting, and coordinating with EHS/Occupational Health to maintain regulatory compliance (OSHA, local codes).
- Conduct regular workplace assessments and ergonomic reviews; recommend corrective actions and coordinate remediation with facilities, IT and health partners.
- Drive space planning and utilization initiatives in partnership with Real Estate and Space Planning teams: analyze occupancy trends, implement desk booking solutions, and make recommendations for optimization.
- Lead the rollout and adoption of workplace technologies (desk booking systems, visitor management, workplace experience apps), working closely with IT to configure integrations and support.
- Design and implement employee engagement programming for on-site experiences (events, wellness initiatives, learning pop-ups) to strengthen culture and team connection.
- Create and maintain comprehensive workplace policies and standard operating procedures (SOPs) for reception, meeting room use, visitor policies, and hybrid work operations.
- Manage procurement and inventory of workplace assets (office supplies, meeting room technology, First Aid/defibrillators), establishing minimum stocking levels and reorder processes.
- Conduct root-cause investigations of recurring workplace issues and implement corrective action plans to reduce repeat incidents and improve service reliability.
- Collaborate with HR, Legal and Compliance to ensure workplace policies respect privacy, accessibility, and regulatory requirements; support investigations when needed.
- Run pilot projects and continuous improvement initiatives (Lean/Kaizen) to increase workplace efficiency, reduce waste, and improve the employee experience.
- Manage office moves, reconfigurations and site transitions including vendor coordination, communications, schedule management and post-move validation.
- Serve as the primary workplace point of contact for business leaders and employees; gather feedback, escalate appropriately and ensure excellent customer service and timely resolutions.
- Prepare RFPs, evaluate vendor proposals and negotiate service agreements and SLAs that align with performance expectations and budget constraints.
- Monitor and enforce building access, security protocols and visitor management to protect employees and property while optimizing flow and convenience.
- Maintain accurate documentation and records for workplace activities, vendor contracts, incident logs, inspection checklists and service histories.
- Champion DE&I and accessibility initiatives in workplace design and programming to ensure equitable employee experiences across locations.
- Coordinate with Sustainability teams to implement eco-friendly workplace practices (waste reduction, energy efficiency, procurement standards) and track progress against sustainability targets.
- Lead quarterly business reviews with vendors and internal stakeholders to review performance, identify opportunities for consolidation and identify cost savings.

- Contribute to the organization’s workplace strategy and roadmap, providing inputs on policy, technology and space planning priorities.

Educational Background
Minimum Education:
- Bachelor’s degree in Business Administration, Human Resources, Facilities Management, Occupational Health, Public Administration, or related field.
Preferred Education:
- Master’s degree in Business Administration, Facilities/Real Estate Management, Public Health or related advanced degree.
- Professional certifications such as PMP, CFM (Certified Facility Manager), SHRM-CP/SHRM-SCP, NEBOSH, or Lean/Six Sigma preferable.
