This role combines hands-on mechanical and electrical troubleshooting with color management, RIP/file preparation, finishing operation oversight, and production scheduling to support high-volume print environments such as commercial print shops, in-plant operations, mailrooms, and production services. The specialist ensures uptime, quality assurance, supplies management (toner, drums, fusers), and customer service while adhering to safety, environmental, and ISO-quality procedures.

Core Responsibilities

Primary Functions

  • Operate, monitor and optimize high-speed xerographic production devices (digital presses, copiers, and digital duplicators) including brands such as Xerox, Canon, Ricoh, Konica Minolta, and other electrophotographic systems to meet production schedules and quality targets.
  • Perform diagnostic troubleshooting and corrective repairs on xerography subsystems such as fuser assemblies, photoconductor drums, toner delivery systems, transfer belts, charge rollers, and cleaning units to minimize downtime.
  • Execute preventive maintenance schedules, routine cleaning, calibration and parts replacement per OEM specifications to extend equipment life and maintain print quality and reliability.
  • Calibrate color, density, and registration using spectrophotometers, densitometers, and RIP software to achieve consistent color matching, proper trapping and accurate reproduction for customer proofs and production runs.
  • Prepare digital files for print by checking PDFs, correcting imposition, ensuring proper bleeds/trim/margins, and processing jobs through RIPs (Raster Image Processors) to ensure reliable imposition and output.
  • Adjust device settings (toner density, exposure, developer bias, fixer/fuser temperatures) and perform drum and blanket conditioning to resolve quality issues such as banding, ghosting, streaking, and color shift.
  • Monitor and manage consumables and spare parts inventory (toner, developer, fusers, drums, belts, lubricants), forecast usage, place procurement requests, and perform first-line stock management to prevent production interruption.
  • Perform quality assurance checks on first-article prints and production samples, document defects, implement corrective actions, and communicate deviations to production control or account managers.
  • Execute complex print jobs involving mixed substrates, coated stocks, envelopes, synthetics, heavy cover stock and specialty media, adjusting paper feed, fusing and registration to prevent jams and misfeeds.
  • Manage and operate finishing equipment integrated with xerographic presses (saddle-stitchers, stackers, staplers, folders, PUR/thermal binders, trimming units) and coordinate machine settings for complete delivered product.
  • Troubleshoot and resolve networked print workflows, print server queues, driver issues, and RIP workflow bottlenecks, working with IT as needed to maintain secure and efficient print production.
  • Implement and document standard operating procedures (SOPs), work instructions and quality checklists for press setups, color profiles, and maintenance activities to standardize output across shifts.
  • Train and mentor junior operators and seasonal staff on safe operation, job setup, troubleshooting, and quality standards for the xerography equipment and associated finishing processes.
  • Coordinate job hand-offs, scheduling, and priorities with production planners, customer service representatives and account managers to meet deadlines, manage rush jobs and ensure on-time delivery.
  • Conduct root-cause analysis for recurring defects or machine failures, escalate complex mechanical/electrical faults to OEM service when required, and follow up on repair outcomes.
  • Maintain accurate production logs, maintenance records, job reports and quality control documentation to support continuous improvement and regulatory/audit requirements.
  • Adhere to workplace safety rules, lockout/tagout procedures and environmental regulations for disposal and recycling of toner, developer waste and chemical solutions.
  • Support equipment installations, retrofits and upgrades by preparing machines, verifying integrations with RIPs and finishing lines, and performing acceptance testing and validation.
  • Liaise directly with customers for in-plant or on-site production, provide technical advice on substrate choices and file prep, and offer practical solutions to meet client requirements while managing cost and turnaround.
  • Implement energy-saving and sustainability practices (toner recycling, sleep modes, efficient warm-up procedures) to reduce operating costs and environmental impact.
  • Assist with estimating and quoting production jobs by providing input on machine capabilities, turnaround times and secondary operation needs to ensure accurate proposals.

Secondary Functions

  • Support ad-hoc production data requests and generate run-time reports detailing machine uptime, waste rates, and consumables usage for operations management.
  • Contribute to continuous improvement initiatives focused on reducing waste, improving first-pass yield, and optimizing job setups across the xerography fleet.
  • Collaborate with IT and prepress teams to standardize job ticket metadata, automated imposition templates and RIP presets for common job types and repeat clients.
  • Participate in shift handovers, daily stand-ups and production planning meetings to align capacity, maintenance windows and resource allocation.
  • Assist in vendor relations and warranty claim coordination for service parts, calibration services and extended maintenance contracts.

Required Skills & Competencies

Hard Skills (Technical)

  • Proven experience with xerographic/electrophotographic equipment operation and maintenance (Xerox, Canon, Ricoh, Konica Minolta, Toshiba).
  • Strong troubleshooting skills for mechanical, electrical and firmware issues (fusers, motors, rollers, sensors).
  • Color management expertise (ICC profiles, spectrophotometer/densitometer use, color calibration and proofing).
  • Proficiency with RIP software and digital print workflows (Harlequin, EFI Fiery, Creo, XPOD, PANTONE libraries).
  • Prepress and PDF/X file preparation skills including imposition, trapping, font management and transparency flattening.
  • Experience operating and integrating finishing equipment (bindery, trimming, folding, stapling, saddle-stitch).
  • Knowledge of substrate handling and machine settings for coated, uncoated, synthetic, and heavy stock media.
  • Ability to perform preventive maintenance, parts replacement and routine calibrations per OEM manuals.
  • Familiarity with networked print environments, print servers, print queues, and secure document handling.
  • Use of diagnostic tools: multimeter, temperature sensors, torque tools, and OEM diagnostic software.
  • Inventory management for consumables and spare parts with basic procurement and reorder procedures.
  • Understanding of safety procedures (lockout/tagout) and environmental handling of toner and hazardous materials.
  • Basic electrical and mechanical aptitude for alignment, sensor adjustments and belt/gear replacements.
  • Data recording and production reporting skills using MES/ERP or simple spreadsheets.

Education & Experience

Educational Background

Minimum Education:

  • High school diploma or GED with vocational/technical training preferred.

Preferred Education:

  • Associate degree or certificate in Print Technology, Graphic Communications, Electromechanical Technology, or equivalent technical field.
  • OEM certifications (Xerox, Canon, Ricoh, Konica Minolta) or manufacturer service training are highly desirable.
