Core Responsibilities

Primary Functions

  • Lead full-spectrum daily operations of one or multiple yachts, ensuring vessel readiness, operational efficiency, timely delivery, and high standards of presentation for owners and guests.
  • Own and manage annual and ad-hoc maintenance programs, creating preventive maintenance schedules, coordinating refits, supervising contractors and shipyards, and ensuring work meets quality, budget, and timeline expectations.
  • Prepare, manage and report against operating budgets, capex forecasts and lifecycle spend; track invoices, authorise purchases, control costs and provide transparent financial reporting to owners or stakeholders.
  • Oversee technical systems and engineering oversight including propulsion, electrical, HVAC, watermakers, stabilization and navigation systems; coordinate diagnostics, repairs and parts ordering to minimize downtime.
  • Ensure full legal and regulatory compliance across flag state requirements, port state control, ISM/ISPS frameworks where applicable, SOLAS/MARPOL/MLC guidance and relevant maritime notifications and certificates.
  • Recruit, onboard, coach and manage crew and contractor teams; define roles and responsibilities, create rosters and rotation plans, administer payroll and benefits in partnership with HR or accounting teams.
  • Implement and maintain safety management systems, emergency response plans, security protocols and drills; drive continuous improvement in safety culture and ensure all certifications and safety equipment are current.
  • Act as the primary point of contact for yacht owners, charter clients and brokers — manage expectations, present status reports, coordinate itineraries, advise on operational constraints and provide concierge-level service.
  • Lead charter operations when required: create charter pricing proposals, manage inventories and provisioning, coordinate guest logistics, ensure charter compliance and deliver exceptional guest experiences.
  • Source, negotiate and manage relationships with suppliers, service providers, shipyards, brokers and insurers; oversee procurement processes and maintain preferred vendor lists.
  • Manage spare parts inventory and logistics, optimize stock levels, organize procurement and customs clearance for critical spares, and implement an efficient parts tracking system.
  • Plan and manage fuel, water, and stores logistics including bunkering operations, provisioning for charters or passages and cost optimization across global cruising areas.
  • Coordinate technical surveys, pre-purchase inspections, insurance surveys and attend sea trials or technical acceptance testing to ensure standards and warranties are met.
  • Oversee digital records, vessel documentation and reporting systems; maintain up-to-date logbooks, certificates, maintenance records and owner-facing operational dashboards.
  • Drive refit and major upgrade projects from scoping and tendering through works acceptance, ensuring cost control, scheduling, snagging resolution and warranty management.
  • Build and maintain itineraries and passage planning, coordinate pilotage, permits, berth and marina reservations, and ensure compliance with port entry requirements across jurisdictions.
  • Lead incident and emergency management including on-call support, coordinating repairs, liaising with local authorities, insurers and service providers, and producing post-incident reports and corrective action plans.
  • Provide technical and operational guidance to Captains and senior onboard staff, establish KPIs, conduct performance reviews and support professional development and training.
  • Ensure high standards of interior presentation, service delivery and guest comfort by working closely with interior crew, housekeeping and external service partners.
  • Prepare and present regular operational, technical and financial reports to owners, boards or management companies with insights, forecasts and recommendations for improvement.
  • Maintain confidentiality and discretion in all owner and guest communications, manage sensitive information professionally and cultivate trusted client relationships.
  • Champion continuous improvement by assessing operational processes, implementing sustainability measures (waste, fuel efficiency), and adopting new tools and software for yacht management.
  • Ensure compliance with tax, import/export and customs requirements for parts, provisioning and movements across international waters through competent liaison with agents and customs brokers.
  • Support business development efforts when required by providing technical expertise for proposals, broker meetings and owner consultations.

Secondary Functions

  • Support ad-hoc operational analysis, vendor performance reviews and KPI reporting to improve fleet performance and reduce operating costs.
  • Assist with crew scheduling, leave planning and temporary crewing solutions during high-demand seasons.
  • Coordinate with legal, insurance and claims teams to provide documentation and support for warranty, damage or loss claims.
  • Maintain relationships with classification societies and flag administrations to expedite survey renewals and emergent certifications.
  • Contribute to sustainability and environmental compliance projects such as emissions reporting, ballast water management and green technology integrations.
  • Participate in periodic audits, internal reviews and third-party inspections to ensure continuous compliance and quality assurance.
  • Oversee inventory reconciliations before and after charters and refits to ensure correct provisioning and stock accuracy.
  • Liaise with shoreside finance teams to streamline invoicing, tax reporting and vendor payment processes.
  • Provide technical input and commercial due diligence for acquisitions, sales or upgrades requested by owners or management.
  • Mentor junior shore-side staff and contribute to knowledge-transfer materials, SOPs and onboarding documentation for new managers.

Required Skills & Competencies

Hard Skills (Technical)

  • Certified knowledge of maritime regulations and compliance frameworks: ISM, ISPS, SOLAS, MARPOL, MLC and relevant flag state rules.
  • STCW awareness for crew training requirements and familiarity with ENG1/MLC medical standards and crew certification checks.
  • Proven experience developing and managing preventive maintenance systems, PMS software (e.g., MyYacht, Autonom, ShipNet or similar) and digital maintenance logs.
  • Technical understanding of marine systems: diesel engines, generators, electrical systems, hydraulics, stabilizers, HVAC, watermakers and navigation electronics.
  • Budgeting, financial management and cost-control skills with hands-on experience in P&L reporting, forecasting, and owner financial reconciliations.
  • Procurement, tendering and contract negotiation skills with experience managing shipyard contracts, supplier SLAs and service-level agreements.
  • Familiarity with refit project management: scoping, tendering, scheduling, and acceptance testing.
  • Strong IT literacy — Excel (advanced), Google Workspace, accounting software (QuickBooks, Xero) and yacht management platforms.
  • Experience handling customs, import/export procedures, VAT/tax issues related to provisioning, spares and international yacht movements.
  • Charter operations knowledge including pricing, itinerary planning, guest logistics and compliance with charter licensing where applicable.
  • Emergency response and crisis management skills including incident reporting, claims support and insurance coordination.
  • Knowledge of environmental compliance and sustainability measures including ballast water, emissions control and waste management practices.

Education & Experience

Educational Background

Minimum Education:

  • High school diploma or equivalent with relevant maritime qualifications or in-service experience (STCW or equivalent).
  • Vocational or technical training in maritime systems, marine engineering or hospitality desired.

Preferred Education:

  • Bachelor's degree in Maritime Studies, Marine Engineering, Nautical Science, Business Administration, Hospitality Management, or related field.
  • Additional professional certifications in project management (PMP), marine surveying, or commercial yacht operations are advantageous.

Experience Requirements

Typical Experience Range: 3–10+ years in yachting or maritime operations, including at least 2 years in supervisory or shore-based management roles; prior experience as a Captain, Chief Officer or Senior Engineer is highly valued.

Preferred: 5+ years of combined sea and shore-side yacht management experience, proven track record managing refits/projects and budgets, solid understanding of international maritime compliance and experience working with high-net-worth owners or charter clients.
