Core Responsibilities

Primary Functions

  • Oversee and coordinate scheduled and preventive maintenance programs for propulsion, auxiliary, electrical, HVAC and plumbing systems, ensuring service intervals, record-keeping and vendor follow-up to maximize vessel availability and reliability.
  • Conduct and document regular technical inspections, sea trials and defect lists; identify root causes, prioritize repairs and liaise with shipyards and specialist contractors to deliver timely, cost-effective solutions.
  • Manage safety compliance and certification requirements, including STCW, SOLAS/flag state documents, life-saving appliances, firefighting equipment and mandatory safety drills; prepare the vessel for inspections, audits and port state control visits.
  • Serve as the primary point of contact for owners, charter clients and management companies regarding itinerary planning, yacht readiness, special requests and escalations to ensure exemplary owner and guest satisfaction.
  • Prepare, manage and control annual and project budgets, produce cost forecasts, review supplier quotes, approve purchase orders and implement cost-saving initiatives without compromising safety or guest standards.
  • Coordinate crew rosters, training, performance reviews and disciplinary actions; ensure appropriate certifications, medicals and trainings are current and that handovers and checklists meet operational standards.
  • Plan and execute provisioning, including menu collaboration with chefs, quality control of food and beverage deliveries, water and fuel management, and secure customs/immigration provisioning clearances for international cruising.
  • Lead refit, repair and upgrade projects: scope works, obtain competitive bids, monitor progress, negotiate contracts, manage budgets and report status updates to owners and management companies.
  • Manage spare parts and technical inventory: maintain minimum stock lists for critical systems, implement purchasing workflows, reconcile supplier deliveries and track warranty coverage and service agreements.
  • Administer administrative and legal documentation: maintain logbooks, maintenance records, flag/registration paperwork, insurance certificates, warranty documentation and supplier contracts to ensure regulatory compliance.
  • Coordinate tender and watersports operations, including maintenance, crew training, servicing of jet skis, seabobs, inflatables and ensuring all toys meet safety and manufacturer service requirements.
  • Troubleshoot complex onboard technical issues under time constraints, perform diagnostics, deploy temporary fixes and escalate to manufacturers or specialized technicians when required.
  • Support charter operations by preparing yacht presentation materials, condition reports, pre-charter briefs, provisioning for guest preferences and coordinating check-in/out procedures and inventories.
  • Implement and maintain environmental compliance programs: waste management, sewage treatment oversight, bunker quality control, emissions precautions and adherence to local and international environmental regulations.
  • Maintain high standards for interior housekeeping, laundry, linen care and presentation; work with chief stewards to enforce SOPs for turn-down service, inventory of amenities and guest replenishment protocols.
  • Lead incident response and emergency management: draft and update onboard emergency plans, conduct mock drills, coordinate medical evacuations when necessary and compile incident reports and follow-up actions.
  • Negotiate and manage vendor relationships and contracts for marina services, technical support, chandlery, fuel suppliers and specialist technicians to secure preferred pricing and reliable service delivery.
  • Monitor and manage insurance-related activities: support claims processing, coordinate surveyor visits, prepare documentation for loss or damage events and liaise with insurance brokers.
  • Produce and present operational reports and KPIs to owners and management, including maintenance status, financials, refit progress, upcoming compliance milestones and charter revenue summaries.
  • Supervise safe and efficient yacht movements in port and during passages, including berthing coordination, linesmanship, gangway procedures, watchkeeping and navigation support when required.
  • Develop and update operational procedures, checklists and SOPs across technical and interior departments to standardize quality, safety and guest service delivery.

Secondary Functions

  • Support ad-hoc owner requests, bespoke event set-up and special provisioning for high-profile guests or VIP events.
  • Assist the commercial team with charter marketing materials, photography coordination, virtual tours and condition reports to maximize charter revenue.
  • Coordinate cross-vendor project timelines during multi-disciplinary refits involving shipyards, designers and classification societies.
  • Maintain inventory of hospitality supplies, amenity replenishments and branded collateral to ensure consistent guest presentation and rapid turnaround between charters.
  • Participate in shipyard coordination visits, oversee contractor access controls, health & safety briefings and quality assurance checks during dock periods.
  • Mentor junior crew members in seamanship, safety procedures and interior standards; develop on-the-job training plans to build internal capability.
  • Maintain a network of maritime contacts including brokers, marina managers, customs agents and technical specialists to expedite urgent works and enhance operational agility.
  • Contribute to continuous improvement initiatives by identifying recurring technical or service gaps and implementing corrective actions or training interventions.

Required Skills & Competencies

Hard Skills (Technical)

  • In-depth knowledge of marine diesel and generator systems, electrical distribution, inverter systems and common yacht hydraulics.
  • Familiarity with navigation systems, autopilot, radar, ECDIS (where applicable) and basic electronic troubleshooting.
  • Proficient in maintenance planning tools and yacht management software (examples: AzureANB, VesselVanguard, JustWare, ShipNet, or equivalent CMMS).
  • Strong understanding of flag state, classification society and port compliance requirements (ISM/MLC familiarity a plus).
  • Experience with refit project management, including scoping, contractor tendering, contract negotiation and quality control.
  • Competence in parts sourcing, inventory management and use of technical manuals, drawings and service bulletins.
  • Working knowledge of onboard hospitality systems including watermakers, laundry systems, ice makers and galley equipment troubleshooting.
  • Ability to prepare and manage budgets, P&L reconciliations and to analyze cost vs benefit for repairs and upgrades.
  • Familiarity with tender and water toy servicing, including outboard engines, sterndrives and electric propulsion auxiliaries.
  • Certifications and medical qualifications where applicable (STCW basic safety, ENG1/MLC medical, first aid/CPR, proficiency endorsements).

Education & Experience

Educational Background

Minimum Education:

  • High school diploma or equivalent; vocational certifications in marine or hospitality trades acceptable.

Preferred Education:

  • Associate or Bachelor’s degree in Marine Engineering, Nautical Science, Maritime Operations, Hospitality Management or related fields.
  • Professional maritime training or technical certificates relevant to yacht systems and vessel operations.
