Core Responsibilities

Primary Functions

  • Plan, manage and optimize weekly class schedules by analyzing attendance patterns, instructor availability, peak times and community needs to maximize studio utilization and revenue.
  • Recruit, interview, onboard and manage yoga teachers and substitute instructors, including negotiating contracts, coordinating training/mentoring, and maintaining an up-to-date roster of teaching staff.
  • Maintain and operate class scheduling and membership management software (e.g., Mindbody, WellnessLiving, Acuity) to create classes, manage waitlists, process bookings and resolve booking conflicts.
  • Execute student-facing operations at the front desk: check-ins, membership purchases and renewals, class drop-ins, shooting timely communications about cancellations and schedule changes, and ensuring an excellent first impression for new students.
  • Coordinate payroll and invoicing for teachers and contractors, verify class counts and payouts, reconcile teacher reports and communicate payment schedules and policy changes clearly.
  • Design, manage and promote specialty programs, workshops, teacher training modules and retreats — handling logistics, registration, vendor management and post-event feedback collection to improve future offerings.
  • Implement and monitor studio retail and point-of-sale operations including inventory control for yoga retail (mats, props, apparel), merchandising, pricing updates and monthly sales reporting.
  • Develop and implement retention strategies such as membership plans, loyalty programs, class packs, targeted promotions, and follow-up outreach to reduce churn and increase lifetime value.
  • Build and execute local marketing tactics in partnership with marketing or social media teams: email campaigns, newsletters, targeted ads, community events, cross-promotions with local businesses and SEO-friendly content to drive organic search traffic.
  • Serve as primary customer service escalation point: resolve customer service issues, complaints, and refund requests with diplomacy and in accordance with studio policies while protecting the customer experience and studio reputation.
  • Coordinate and ensure compliance with health, safety and sanitation protocols (including COVID-19 policies as applicable), maintain first-aid/CPR readiness, and manage safety incident reporting and follow-up.
  • Maintain studio facilities and equipment scheduling for cleaning, repairs, HVAC, and supplies; coordinate with vendors for maintenance and ensure studio spaces are safe, welcoming and on-brand.
  • Monitor key performance indicators (KPIs) including attendance, revenue by class, average revenue per user (ARPU), membership conversion rates, no-show rates and other metrics; prepare monthly reports and data-driven recommendations for leadership.
  • Facilitate teacher development: organize regular teacher meetings, continuing education opportunities, class sequencing reviews and feedback loops to maintain high instructional quality.
  • Oversee student intake and onboarding processes, including trial offers, orientation sessions, consent waivers, liability forms, membership contracts and data entry to ensure legal and operational completeness.
  • Manage online class delivery and hybrid operations: schedule and coordinate livestream classes, record and upload on-demand content, troubleshoot basic AV and streaming issues and liaise with tech vendors when required.
  • Develop and maintain partnerships with local businesses, community centers, health practitioners and influencers to expand outreach, cross-promote events and create referral pipelines.
  • Lead special events logistics for studio-hosted happenings (e.g., full moon yoga, charity classes, seasonal festivals) from budgeting and promotion through day-of coordination and post-event reconciliation.
  • Create and maintain up-to-date written policies and SOPs for front desk operations, teacher contracts, scheduling, refunds, and emergency response to ensure consistency and operational scalability.
  • Manage studio budget items including petty cash, monthly subscriptions, payroll forecasts, and vendor invoices, and assist leadership with financial planning and cost optimization recommendations.
  • Collect qualitative and quantitative feedback through surveys, NPS, and face-to-face conversations, synthesize insights and implement iterative program or service changes to improve satisfaction and retention.
  • Enforce booking policies (cancellation, late arrival, no-show) and communicate policy changes to customers and staff, ensuring fair and consistent application to maintain revenue integrity.
  • Maintain accurate records for insurance, teacher certifications (RYT-200/500), liability waivers, and any required local licenses or permits; coordinate renewals and documentation storage.
  • Implement inclusive, accessible programming by coordinating adaptive classes, family or community accessibility initiatives and training staff on inclusive language and accommodations.
  • Support strategic growth initiatives such as opening additional class locations, piloting membership tiers, launching corporate wellness programs and scaling community outreach plans.

Secondary Functions

  • Support ad-hoc reporting requests and deliver concise operational summaries for senior leadership to inform pricing, scheduling and staffing decisions.
  • Contribute to the studio’s strategic roadmap by offering insights from frontline operations, teacher feedback and customer behavior to shape new product and program offerings.
  • Collaborate cross-functionally with marketing, finance, HR and facilities teams to translate business needs into executable operational plans and timelines.
  • Participate in monthly planning meetings and agile-style sprints for event rollouts, seasonal campaigns and system upgrades to continuously improve studio operations.

Required Skills & Competencies

Hard Skills (Technical)

  • Proficiency with studio management and scheduling platforms (Mindbody, WellnessLiving, Acuity Scheduling) and ability to configure classes, waitlists and memberships.
  • Experience with POS systems and retail inventory management (Square, Vagaro, Lightspeed or similar).
  • Strong spreadsheet skills (Excel / Google Sheets) for reporting, pivot tables and basic data analysis of attendance and revenue metrics.

  • CPR/First Aid certification (or willingness to obtain) and understanding of basic safety protocols and emergency procedures.
  • Familiarity with livestream and hybrid class technologies (Zoom, Vimeo, OBS) and troubleshooting basic AV issues.

Education & Experience

Educational Background

Minimum Education:

  • High school diploma or GED; equivalent professional experience in studio operations or hospitality accepted.

Preferred Education:

  • Associate’s or Bachelor’s degree in Business Administration, Kinesiology, Hospitality Management, Recreation, or related field.
